Client Care Coordinator
Location: Lindenhurst, NY
Position Type: Full-time or Part-time
Schedule: In-person, patient-facing role
Let’s be honest for a moment…
If you’re someone who:
- Feels drained by chaotic front desks and transactional environments
- Wants to be part of something meaningful — not just “answer phones”
- Naturally makes people feel calm, safe, and cared for
- Loves organization, systems, and making things run beautifully
- Wants to work in a space that values warmth and professionalism equally
…you might feel very at home at Pelvic Connections.
About Pelvic Connections PT
Pelvic Connections is a specialty pelvic health physical therapy clinic built on the belief that exceptional care begins the moment a patient first reaches out.
We are a cash-based, out-of-network clinic, which means:
- We prioritize connection over volume
- We support patients through vulnerable and often emotional health journeys
- Every interaction matters — including the first phone call
Our clinic serves patients across the lifespan — pregnancy, postpartum, pelvic pain, athletes, perimenopause and menopause, men’s health, and complex chronic conditions — all through a whole-body, biopsychosocial lens.
And our Client Care Coordinator plays a vital role in that experience.
This Role Is Different — Here’s Why
As a Client Care Coordinator at Pelvic Connections, you are not “just admin.”
You are:
- The first impression of our clinic
- The emotional tone-setter
- The systems organizer
- The protector of a calm, regulated environment
- A key support for our clinical team
You will work in a beautifully designed, calm space that supports nervous-system regulation — for both clients and staff.
What You’ll Do
- Answer phones and respond to inquiries with warmth, clarity, and confidence
- Guide potential patients through scheduling, pricing, and onboarding
- Maintain organized patient charts and documentation systems
- Support scheduling optimization and clinician fill rates
- Collect payments and manage billing processes in a cash-based model
- Maintain front desk flow and clinic presentation
- Communicate clearly with the clinical team
- Help coordinate workshops, events, and community outreach
- Contribute to social media and community engagement efforts (optional but encouraged)
You will be part of a team that values professionalism, growth, and emotional intelligence.
Who We’re Looking For
You don’t need a medical background — but you do need emotional intelligence.
We’re excited about candidates who:
- Are highly organized and detail-oriented
- Communicate clearly and warmly
- Are comfortable discussing pricing and financial conversations confidently
- Thrive in a structured but human-centered environment
- Can hold boundaries while remaining kind
- Are proactive, not reactive
- Want to grow within a small, boutique practice
Bonus if you:
- Have experience in healthcare, wellness, or boutique service environments
- Love systems, spreadsheets, and improving efficiency
- Enjoy being part of something mission-driven
Why Team Members Choose Pelvic Connections
- Calm, beautiful workspace
- Leadership that listens and invests in growth
- Clear expectations and strong mentorship
- A role that feels meaningful, not transactional
- A culture that values sustainability — not burnout
- The ability to build a long-term, meaningful career
We offer competitive hourly compensation for part-time roles and salary options for full-time roles.
A Final Note
We believe the patient experience begins long before they enter a treatment room.
If you’re someone who understands that warmth, organization, and professionalism can change someone’s healthcare journey — we’d love to connect.
