Job Summary

  • Serves patients and visitors by greeting and helping with their needs. Acts as a key point of contact between patients, visitors, staff members, healthcare professionals, and appropriate parties in an effort to aid in coordination of care. Performs as an assistant to their direct supervisor/manager. Accountable for administering, collecting, filing, organizing, scanning, and providing assistance with paper-work and document processes. As a centralized element to the practice, individual will be scheduling, answering calls/faxes with routing and message taking as appropriate, assisting with or completing in-person inquiries, payment collections/transactions, bookkeeping, maintaining records and accounts as appropriate.

General Accountabilities

  • Welcome patients and visitors by greeting, in person or on the telephone; answering or referring inquiries.
  • Request, compile and record medical records, reports, and correspondences.
  • Interview patients for completion of insurance, privacy forms, and documentation.
  • Communicate & collect applicable service charges posting to patient accounts.
  • Schedule, check-in/out, cancel/reschedule, confirm, and communicate patient appointments, check-ups and provider referrals. (This may include other appointment types such as vendors, marketing representatives, other medical professionals, or guests in general).
  • Coordinate appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Collect and verify insurance/benefit coverage; communicating with patient, staff, and insurer as necessary.
  • Handle and maintain administrative/front desk activities to be fully operational at start of business or shift hours.
  • Answer and communicate telephone calls directing to appropriate staff as needed; documenting and communicating detailed messages as necessary. This includes checking messages and taking necessary action in a timely manner.
  • Answer and communicate in-coming faxes to appropriate staff assisting or executing tasks as needed in a timely manner.
  • Optimize patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Comforts patients by anticipating patient anxieties; answering patient questions; maintaining the reception/waiting area.
  • Ensures availability of treatment information by filing, retrieving, and/or preparing records.
  • Maintains patient accounts by obtaining, recording, and updating personal financial information.
  • Obtains revenue by recording and updating financial information. Record and collect patient charges. With direction, coordinate credit extended to patients; filing, collecting, and expediting third-party claims.
  • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies & communicating needs. Placing if directed and/or expediting orders for supplies. Verifying receipt of supplies; scheduling equipment service repairs.
  • Helps patients in distress by responding appropriately to emergencies.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Complies with and retains knowledge of professional, ethical, and legal standards. Maintains operations and safe/clean working environment by following policies and procedures; reporting needed changes.
  • Maintains knowledge of best practice for medical regulatory/compliance standards including, but not limited to HIPAA and OSHA guidelines.
  • Contributes to team effort and practice initiatives.

Job Qualifications

  • Education: High School - equivalent or above
  • Work Experience: Out-Patient/Ambulatory Medical Office Reception - Preferably physical therapy, chiropractic, or rehabilitation.
  • Electronic Medical/Health Records: Preferably WebPT
  • Physical Skill/Ability: Job will require a healthy state where individual must be able to lift 25 lbs. from floor to waist on a periodic basis.
  • Must be able to pass a Background Check and drug screening.
