Salary Range: $55,000/Annualized, commensurate with education, experience, and qualifications.

Job Summary

The Administrative Services Officer (ASO) ensures efficient departmental operations by managing administrative, financial, and coordination tasks. The ASO provides high-level staff support, exercises independent judgment, and follows established policies to complete assignments.

Core Responsibilities
  1. Oversees daily operations to ensure efficiency. Optimizes workflows and improves processes. Coordinates with university stakeholders to achieve department or college goals. Uses independent judgment to make decisions.
  2. Collaborates with People Excellence and supports HR tasks. Handles recruitment and onboarding. Enters employee data into PeopleSoft on schedule. Meets deadlines from university stakeholders.
  3. Acts as the liaison to coordinate information flow. Improves employee awareness and engagement with clear communication.
  4. Supports departmental or college projects as the administrative contact. Tracks timelines, expenditures, and completion of tasks across collaborative units.
  5. Verifies documentation and ensures projects are completed on time.
  6. Supervises support staff and provides guidance on complex issues and tasks. Focuses on employee development through training and reviews. Ensures staff meet deadlines, follow procedures, maintain professional environment, and complete tasks with high quality.
  7. Manages fiscal activities, including account reconciliation and cost analysis. Helps plan budgets, create budget projections, and ensure departmental funds stay within budget. Monitors expenses and processes invoices in timely manner. Prepares financial reports with the finance department.
  8. Manages schedules and calendars. Organizes meetings and appointments for departmental leadership, and travel for faculty.
  9. Prepares and edits reports, presentations, and documents for senior staff. Ensures materials are accurate and professional for executive review and decision-making.
  10. Performs other duties as assigned.
Required Qualifications
  • High School Diploma, Vocational Training or Apprenticeship in a related field.
  • Education may substitute for experience on a one year for one year basis.
  • Seven (7) years of related work experience.
  • This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.
Preferred Qualifications
  • Bachelor's degree or higher from an accredited institution.
  • Budget and Fiscal management experience.
  • Experience coordinating complex administrative workflows across multiple stakeholders.
  • Experience with PeopleSoft, Banner, Webi, and other university electronic platforms.

Working Conditions
  • Office Environment. Workdays, areas, and work hours may vary based on the department's needs. Work is primarily in person.
Physical Demands
  • Sedentary work; sitting most of the time. Jobs are sedentary; if walking and standing are required, only occasionally. Ability to exert up to 10 pounds of force to lift, carry, push, pull, or otherwise move objects.


This position will work primarily on campus. Travel and parking expenses are the employee's responsibility.


This position is contingent upon a successful background check. Verification of a valid driver's license and Motor Vehicle Record (MVR) may be completed as applicable. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
