Responsibilities

  • Greet patients warmly and assist with appointment scheduling, rescheduling, and cancellations to optimize clinic flow.
  • Manage patient records accurately, ensuring all information is up-to-date and confidential.
  • Communicate effectively with patients regarding pre-visit instructions, follow-up appointments, and inquiries about vision therapy.
  • Coordinate with staff to prepare patient charts and ensure necessary documentation is completed for each visit.
  • Assist with verifying insurance details and processing payments or co-pays at the time of service.
  • Maintain a clean, organized front office, exam and vision therapy environment and ensure all administrative tasks are completed efficiently.
  • Support the team by handling phone calls, answering inquiries, and providing excellent customer service.

Requirements

  • Previous experience working in a medical or educational setting is highly preferred.
  • Proven ability to provide excellent administrative support in a fast-paced environment.
  • Office experience demonstrating proficiency with scheduling software, electronic health records (EHR), or similar systems.
  • Exceptional organizational skills with attention to detail and confidentiality.
  • Excellent communication skills to interact professionally with patients, staff, and external partners.
