Overview
The Fire Alarm Service Coordinator is responsible for managing and scheduling service for fire alarm systems. This role serves as the central point of communication between customers, field technicians, and management to ensure timely, compliant, and efficient service delivery. The ideal candidate is highly organized, detail-oriented, and has experience in administrative coordination within the life safety, electrical, or construction industries.

Duties

  • Scheduling & Dispatching
  • Coordinate and schedule service calls for fire alarm technicians.
  • Prioritize work orders based on urgency, customer needs, and technician availability.
  • Track technician routes, labor hours, and job progress to ensure timely completion.
  • Customer Communication
  • Serve as the primary point of contact for customers regarding scheduling, service updates, and documentation.
  • Handle incoming service requests and maintain professional, prompt communication.
  • Provide customers with inspection reports, deficiency notifications, and proposals as needed.
  • Administrative & Documentation
  • Create and manage work orders, service tickets, and inspection reports in company software.
  • Verify that all service documentation complies with NFPA, state, and local fire codes.
  • Maintain accurate records of contracts, renewals, and service history.
  • Assist in preparing invoices, purchase orders, and technician timesheets.
  • Team Coordination
  • Collaborate closely with sales, operations, and project teams to coordinate service and installation efforts.
  • Support field technicians by providing job details, parts lists, and technical documentation.
  • Communicate with vendors to order parts or schedule warranty repairs.
  • All other duties as assigned.

Qualifications

  • Education: High School Diploma or equivalent
  • Experience: 2+ years of experience in service coordination, scheduling, or administrative support (fire alarm, electrical, or construction industry preferred)

Skills

  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite and service management software (e.g., ServiceTrade, simPRO, or similar).
  • Familiarity with NFPA codes and fire alarm systems is a plus.
  • Ability to thrive in a fast-paced, deadline-driven environment.

Salary $23.43 -28.21 plus bonus opportunity.
