Job Summary:

The Graduate Admissions Counselor supports the recruitment and admission of prospective graduate students across the portfolio of education programs, including master’s degrees, certification programs, and the Doctor of Education. This position focuses on prospective student outreach, relationship development, application support, and frontline admissions service.

Working under the direction of the Director of Graduate Programs in Education, the Graduate Admissions Counselor ensures a responsive, student-centered experience from initial inquiry through enrollment and provides operational support for admissions activities and events. The role complements and contributes to the broader work of the graduate admissions team and collaborates with institutional partners to promote a seamless enrollment process.

Essential Duties & Responsibilities:

  • Prospective Student Engagement
    • Serves as an initial point of contact for prospective students interested in graduate education programs
    • Conducts outreach and follow-up via phone, email, Zoom, and in-person appointments; documents all interactions in Slate (CRM)
    • Provides prospective graduate students with accurate information about programs, admission requirements, curriculum, deadlines, and next steps
    • Builds rapport with prospective students and offers ongoing support throughout the inquiry and application stages
  • Application and Admissions Support
    • Guides applicants through the completion of admission requirements, troubleshooting common questions and helping resolve barriers to completion
    • Utilizes Slate to monitor applicant status, track the status of application materials, generate communications, and support progression through the application lifecycle
    • Evaluates admissions applications to determine applicants’ eligibility for graduate admission
    • Maintains high standards of accuracy and data integrity when working within the CRM
  • Prospective Student Recruitment
    • Represents the University at on-campus, off-campus, and virtual recruitment events, including information sessions, open houses, school district visits, and community-based outreach
    • Assists with planning, promotion, and execution of prospective-student events and virtual engagement opportunities
    • Supports collaboration with Marketing & Communications by providing event details, program updates, and recruitment insights to inform messaging
  • Campus Collaboration and External Outreach
    • Supports communication and coordination with campus partners including Financial Aid, Registrar, Bursar, Student Affairs, and Veterans Affairs to address prospective student needs
    • Assists with outreach to external partners (e.g., school districts, community organizations) under direction of the Assistant Director or Director
  • Other General Responsibilities
    • Maintains a working knowledge of trends, best practices, and institutional policies related to admissions and financial aid
    • Contributes to continuous improvement efforts within the admissions office
    • Performs other duties and responsibilities as assigned

Required Knowledge, Skills and Abilities:

  • Proficiency in MS Office suite – Outlook, Word, Excel, PowerPoint, Teams
  • Excellent written and oral communications skills
  • Excellent attention to detail and organizational skills
  • Customer service orientation and ability to build supportive relationships with diverse prospective student populations
  • Ability to manage multiple priorities and work effectively in a fast-paced environment
  • Willingness to learn and effectively use CRM and student information systems
  • Strong analytical, troubleshooting, and problem-solving skills
  • Understanding of or interest in trends in graduate admissions and financial aid
  • Knowledge of trends and processes in college admissions and financial aid

Education and Experience:

  • Bachelor’s degree required
  • Minimum 2 years of related experience in K-12 or higher education
  • Experience with Slate or similar CRM systems preferred; training will be provided
  • Experience in or familiarity with K–12 education or teacher preparation programs is a plus.
  • Master’s degree strongly preferred


Physical Requirements and Working Conditions:

  • Prolonged periods of sitting at a desk and working on a computer
  • Occasionally lifting up to 25 lbs., such as materials for recruitment events
  • Standing and walking required for various recruitment activities
  • Evening and weekend work required to support recruitment events
  • Local and regional travel required
