The Intake Coordinator serves as the primary point of contact for patient referrals, facilitating a seamless intake process from initial contact to admission. Key responsibilities include gathering patient information and medical history, verifying insurance and benefits, completing paperwork, managing the referral process with providers, and coordinating services with the Clinical Ops team and patients. This role bridges Intake, Sales, Clinical Ops, and Warehouse, ensuring every referral moves quickly and accurately from order to therapy setup, with a high level of communication at every step to both patients and providers.


Responsibilities and Duties:
  • Serves as the primary contact for referral partners and patients – owning communication, updates, and resolution.
  • Builds trust with physicians and referral staff by demonstrating responsiveness, accountability, and high service standards.
  • Ensures patients feel guided, informed, and cared for throughout the process.
  • Oversees a small Intake team - manages staffing, training, productivity, and quality.
  • Ensures all orders are processed quickly and accurately.
  • Partners with Warehouse and RT Scheduling to remove bottlenecks and guarantee timely setup.
  • Collaborates closely with Sales ensuring flawless follow-through.
  • Drives SOP adherence, KPI reporting, and process consistency across Intake and downstream functions.
  • Builds dashboards/scorecards to track intake performance, patient experience, and referral satisfaction.
  • Shares insights with leadership, highlighting opportunities to improve speed, accuracy, and communication.
  • Champions process improvements that enhance patient care and market growth.
  • Other duties as assigned.
