The Archives Technician supports the Coast Guard Historian’s Office by assisting with the physical processing, inventory, and digitization of archival records. This position works under the direction of an Archivist or government staff to ensure proper handling, labeling, and tracking of Coast Guard archival materials. It is well-suited for individuals with attention to detail, physical handling skills, and an interest in supporting historical preservation.
Responsibilities
- Rebox and refolder archival records according to arrangement plans.
- Label boxes and folders in support of long-term intellectual control.
- Assist in stabilizing records and performing basic preservation tasks.
- Collect and input donor and accession data into tracking databases.
- Assist in the preparation and processing of archival donations.
- Digitize archival documents and Official Military Personnel Files in accordance with scanning protocols.
- Prepare scanned materials for posting to the CG Historian’s website via AFPIMS.
- Conduct scanning of historical records housed at external repositories (e.g., National Archives).
- Provide research assistance under supervision, including file pulls and record retrieval.
- Assist with filing and organizing documents and reference materials.
- Associate’s degree or equivalent combination of education and experience.
- 1–2 years of experience in archives, libraries, museums, or a records management setting.
- Familiarity with archival processing, filing systems, and physical handling of historical documents.
- Experience with flatbed or document scanners and basic image processing software.
- Working knowledge of Microsoft Office, particularly Excel and Word.
- Ability to follow detailed instructions and maintain careful documentation.
- Physical ability to lift boxes and work with records in a storage environment.
- Interest in history, archives, or cultural heritage institutions preferred.
Physical Requirements
Must be able to frequently move from place to place within the location; file and retrieve books and other items on high shelves; lift/push up to 25 pounds and occasionally up to 35 pounds. of heavy boxes, books, and equipment; work in confined spaces; walk; bend; stoop; reach; and climb.
