The objective of the Service Coordinator is to support the office and accounting functions of our Mechanical Service team. This role is the first contact for customers and vendors and will direct communications to the proper person as well as support the field staff. Day-to-day assignments will vary, and our Service Coordinator must be able to prioritize needs to ensure the office is running smoothly, following company processes, and communicating with the corporate office.


JOB DUTIES AND RESPONSIBILITIES:



  • Be the initial contact for customers and vendors.

  • Answer and direct incoming calls.

  • Receive and coordinate service call requests for our Mechanical Service teams.

  • Bill customer invoices for quoted and time and material work.

  • Handle Service creation billing.

  • Coordinate monthly with Managers to identify the work accomplished during the month and bill contractors according to their requirements.

  • Approve and prepare A/R and A/P.

  • Input A/P invoices into the accounting system according to established procedures.

  • Input and email or mail all invoices to customers.

  • Send statements to a list of customers monthly or as requested.

  • Prepare information for Account Managers and research when necessary.

  • Prepare various reports as requested.

  • Check vendor statements.

  • Creation and maintenance of customer-related files.

  • Booking of Service Projects.

  • Assist and train technicians with time entry, refrigeration logs, and other reporting requirements.

  • Other duties as assigned.

SKILLS AND QUALIFICATIONS:



  • 2-4 years’ experience in an accounting department

  • Personable with excellent customer service

  • Able to communicate effectively with employees of all levels

  • Analytic and detail-oriented

  • Proficient skill level with Microsoft Excel

  • Intermediate skill level with Microsoft Word, and Outlook

  • Experience working in the HVAC Industry

  • Experience working in the skilled labor service industry
