JOB SUMMARY

ESSENTIAL DUTIES
- Attend in a courteous and professional manner to all incoming clients, calls, visitors, and other referral/partner stakeholders with a welcoming positive attitude – take messages and refer them to the appropriate party and return all incoming calls promptly.
- Adhere to HIPPA requirements regarding confidentiality of participants.
- Complete initial new admissions intake workflow for incoming program participants – compile weekly Caritas physical exams and lab reports for Medical Director’s review, in a timely manner.
- Support management and clinical personnel with clerical work pertaining to program operations.
- Responsible for the maintenance of all program records in accordance to policy and procedures of funding sources - including updating participants’ charts in Electronic Health Record system/Care Logic.
- Data Entry, execution, and tracking of all monthly mandatory emergency safety drills.
- Outreach to referral partners for clients eligible to enroll in Level 3.5 ASAMP placement criteria; including daily data-base tracking of all outreach/recruiting efforts for new intakes.
- Receive, distribute, and correspond to all incoming and outgoing program communications.
- Request, obtain and store an inventory of office supplies, program donations, maintenance and equipment.
- Perform urinalysis screenings on program participants as per agency protocols.
- Participate in agency meetings and fundraising efforts.
- Perform other duties as assigned by supervisor.
REQUIRED SKILLS/ABILITIES
- Must have good verbal, written, and professional communication skills.
- Must have good computer knowledge, Microsoft Office: Word, Excel, and Publisher.
- Must be willing to work flexible hours, as per program needs.
- Bilingual/Bicultural (English/Spanish) required.
- Possession of a valid driver’s license and willingness to use personal vehicle in course of employment.
- H.A.S. requires all staff to work on-site.
EDUCATION & EXPERIENCE
- Must be a high school graduate or its equivalence.
- Must have at least one year of related experience in exceptional customer service in a substance use facility / program.
PHYSICAL REQUIREMENTS
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
