Job Title: Home Care Staffing Coordinator

Department: Home Care Operations

Reports To: RN Area Coordinator

Employment Type: Full-Time (40 hours/week)

The Home Care Staffing Coordinator plays a key role in supporting the daily operations of Wise Home Care by coordinating caregiver schedules, assisting with recruiting efforts, and maintaining an organized and professional office environment. This is a position that requires excellent communication, problem-solving, and organizational skills.

Key Responsibilities:

  • Manage daily schedules for caregivers and nurses, ensuring client needs are consistently met.
  • Communicate schedule updates and changes to clients, caregivers, case managers, family members and nurses in a timely and professional manner.
  • Ensure caregivers are working the schedules that match the client's service plan.
  • Respond to call-offs, client cancellations, and other urgent staffing needs, including occasional after-hours or weekend work as needed.
  • Assist with recruiting and onboarding new caregivers, including reviewing applications, conducting preliminary interviews, and coordinating training.
  • Maintain accurate and up-to-date client and employee records in accordance with compliance guidelines.
  • Monitor EVV (Electronic Visit Verification) systems and the Telephony Log to ensure accurate documentation and timely reporting.
  • Complete conflict/resolution logs and ensure proper follow-up.
  • Provide administrative support including answering phones, filing, printing documents, and assisting with payroll-related documentation.
  • Support office culture by maintaining a positive, organized, and client-focused environment.
  • Collaborate with the RN Area Coordinator and Clinical team to ensure continuity of care.
  • Attending job fairs and marketing events as needed.
  • Any other duties assigned by the Administrative Staff.

Requirements:

  • High school diploma or equivalent required.
  • Experience in home care, healthcare scheduling, or office administration strongly preferred.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Comfort with technology, including EVV systems, Telephony, Microsoft Office Suite, and electronic health records.
  • Reliable transportation and availability to support occasional after-hours needs.
