Our Med Spa offers a range of treatments, including skincare, body contouring, microneedling, laser treatments, CoolSculpting, and injectables. We are seeking a friendly and professional Patient Care Coordinator to join our team and ensure a welcoming and efficient experience for our clients.
Job Description:
As a Patient Care Coordinator, you will be the first and last point of contact for our clients, providing excellent customer service and administrative support. It is essential that the candidate is friendly, professional, well-spoken organized, and able to multi-task. The candidate must have excellent customer service skills, excellent phone etiquette, and a welcoming, positive personality. Our ideal candidate would have experience in the aesthetics industry and be able to speak about the varying procedures and products we provide. Familiarity with electronic medical records (ideally Aesthetic Record) and HIPAA compliance regulations is a plus.
Key Responsibilities:
- Greet clients with a warm and welcoming attitude upon arrival.
- Answering incoming calls, text messages, Aesthetic Record inbox messages, e-mails, and communicate with clients through our patient portal.
- Manage appointment bookings including rebooking, rescheduling and patient follow-up.
- Check clients in and out, ensuring all necessary paperwork is completed accurately.
- Handle client inquiries and provide information about our services and products.
- Process payments and manage the point-of-sale system.
- Maintain a clean and organized front desk and waiting area.
- Assist with administrative tasks such as filing, data entry, and inventory management.
- Coordinate with the medical and aesthetic staff to ensure smooth operations.
- Manage client records and ensure confidentiality of all information.
- Assist in scheduling follow-up appointments and sending reminders to clients.
- Promote our services and products to clients, providing information on promotions and packages.
Qualifications:
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Previous experience in a customer service or administrative role, preferably in a MedSpa, healthcare, or beauty industry.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and experience with scheduling and point-of-sale systems.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Friendly and professional demeanor with a passion for customer service.
- Ability to handle sensitive information with discretion and confidentiality.
