Practice Care Coordinator

Muguet Aesthetics & MedSpa – Newport Beach, CA Full‑time (32–35 hrs/week)

Summary

The Practice Care Coordinator plays a vital role in ensuring that clients receive exceptional support throughout their aesthetic journey. You’ll manage client interactions, coordinate appointments, and provide administrative assistance in a MedSpa environment. We’re looking for someone with outstanding organizational skills, friendly and warm personality, , and a true passion for delivering top‑notch customer service.

Responsibilities

  • Greet clients warmly upon arrival and assist with efficient check‑in/check‑out.
  • Schedule, confirm, manage, and follow up on appointment bookings to optimize provider schedules.
  • Maintain accurate client records and manage electronic health/client information systems.
  • Communicate clearly with clients about treatment plans, and pricing.
  • Social Media: posting, filming, and taking photo and video content.
  • Follow up on leads, booked appointments, and uncommitted clients & manage skincare sales, upsell treatments based on monthly promotions.
  • Answer incoming calls and respond to inquiries in a timely, courteous manner.
  • Manage office and treatment room supplies and inventory.
  • Uphold confidentiality and adhere strictly to HIPAA and company policies.

Requirements ✅

  • Social Media SAVVY (skills/posting) MUST *have sales experience!
  • MedSpa or plastic surgery experience preferred—but not required.

  • Outstanding people skills - Must be comfortable to speak with patients, friendly and warm is imperative!
  • Excellent organizational skills and attention to detail.
  • Proficiency with office software and EHR/CRM systems is a huge plus, but not required.
  • Outstanding interpersonal and problem‑solving abilities.
  • Must be AT LEAST 25 years of age and up!
  • Must be self‑motivated, independent, and a collaborative team player.
  • Provide 2 references, resume (including dates of each job), cover letter
