ALPS is seeking a dependable, highly organized and detail-oriented Office Coordinator to join our team. This key position blends front desk reception with essential office administrative responsibilities, supporting the day-to-day operations of our workplace. As the first point of contact for visitors and callers, the Office Coordinator plays an important role in representing our company with professionalism, while also providing valuable administrative support across multiple departments.
This full-time, in-office position offers a salary range of $45,000 - $52,000 annually (DOE) and a robust benefits package.
What You’ll Do:
- Greet and assist clients, guests, and vendors to ensure a professional and welcoming environment.
- Operate a multi-line phone system, including managing call routing and after-hours procedures.
- Coordinate the receipt and distribution of mail and packages, including scheduling pickups with courier services such as UPS.
- Maintain office and breakroom supply inventory by working with various external vendors.
- Provide administrative support to Human Resources, including attendance tracking, and event coordination.
- Assist the Finance team by organizing invoices and processing incoming checks.
- Act as a point of contact for building-related matters, including maintenance requests and company-wide communications.
- Manage employee parking logistics, including payment collection, badge distribution, and record keeping.
- Support planning and distribution for company-sponsored events and seasonal ticket programs.
- Train and provide guidance to backup staff on reception and front desk procedures.
What You Bring:
- High school diploma or equivalent.
- 1–2 years of office or administrative experience.
- Experience with multi-line phones and customer service preferred.
- Strong skills in Microsoft Office (Outlook, Word, Excel, Teams).
- Excellent communication, organization, and time management skills.
- A proactive attitude, professionalism, and strong attention to detail.
