Job Title: Intake Coordinator

Pay: $20/hr

Type of Position: FULL TIME (Remote positions available)

Hours: You will be assigned a 40-hour shift that may include weekends, evenings and holidays. Hours may range from:

• Monday - Friday - 8:30am - 5:00pm Pacific Time

Job Description:

The role of the Intake Coordinator is vital to the success of Larry H. Parker. This role is behind the scenes but on the front line assisting our Intake Specialists and new clients to smoothly transition into our firm and move into the next stage of their case with us all while getting the best possible service out there.

Core duties and responsibilities include the following. Other duties may be assigned.

• Cross check Litify Daily Reports to ensure all cases are transferring to ACT for NCC processing.
• Add all Missing Litify Sources to ACT in proper fields
• Missing Sources for Previous CMs and File #'s Report - Check and update as needed.
• Check and / or update all sign up and retainer received dates to match date client signed up
• Handle sending out and receiving any updated retainers requested from NCC for name, DOL, DOB, and city changes (will also make sure ACT maintains the correct sign up dates and any new information is also updated in both CRMs)
• Coordinate sending 3rd party authorizations and transportation advances requested by processing team (will also need to add request to invoicing sheet for accounting to finalize and send out)
• Refer Out Cases that are not PI related (i.e. WC, med mal, etc…) - Follow up with Referring Partner Firms, get 1.5.1 forms signed, clients into ACT system, and properly tagged.
• Update name and firm file changes in Litify
• Invoicing AMEX for Rapid Sign Ups
• Call Quality Control: Will listen to a target number of calls per Intake Specialist every day / week, score calls, and provide feedback (areas for improvement and / or areas they excel in)

Qualifications:

• Excellent written and oral skills
• Fluency in the use of computer systems including email programs, internet usage, customer relationship management systems and proven ability to apply computer skills to new systems
• Excellent organizational skills
• Proficiency with Microsoft Word and Excel
• Attention to detail
• Bilingual - English/Spanish
