Job Overview
The Intake & Authorization Coordinator is responsible for managing the initial onboarding process for new clients and ensuring all required services are authorized by insurance providers before care begins. This role serves as the first point of contact for referrals and plays a critical part in ensuring a smooth, compliant, and timely intake process.
Responsibilities:
- Receive and process new referrals from hospitals, Housing Coordinators, families, and community partners
- Conduct initial intake, including collecting demographic information, service needs, and required documentation
- Verify insurance eligibility and benefits for all incoming clients
- Review and obtain required documents such as ITN/LON, assessments, and supporting clinical information
- Prepare and submit authorization requests to insurance companies in a timely manner
- Track all pending authorizations and follow up with insurance providers to ensure approvals are received
- Communicate regularly with referral sources, clients, and internal teams regarding intake and authorization status
- Maintain accurate and organized client records in compliance with agency and regulatory requirements
- Coordinate with clinical and operations teams to ensure services begin promptly after authorization
- Identify and resolve any issues or delays in the intake or authorization process
- Proven experience in a medical office setting or healthcare environment with familiarity in insurance verification and authorization processes.
- Knowledge of managed care systems, medical terminology, and medical coding (CPT, ICD-9, ICD-10).
- Strong understanding of HIPAA regulations related to patient privacy and data security.
- Experience with medical records management and office procedures within healthcare settings.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Effective communication skills for liaising with insurance companies, healthcare providers, and patients.

Qualifications:
- Experience in healthcare and or social services (preferred)
- Knowledge of insurance verification and authorization processes (Medicaid/managed care preferred)
- Strong organizational and time-management skills
- Excellent communication and customer service abilities
- Ability to handle confidential information professionally
- Proficiency in Microsoft Office and/or electronic health record (EHR) systems
Pay: $18.00 - $20.00 per hour
