Salary: Salary plus CommissionPosition SummaryWe are seeking a full-time Intake Coordinator that lives and has established relationships and connections in Northern Idaho, specifically, Coeur d'Alene. The Admissions Intake Coordinator is a proactive, growth-focused professional responsible for new client admissions into the Brick House Recovery Program. This role actively seeks out, develops, and closes new referral and client opportunities while expertly guiding qualified prospects through the admissions process.Essential Duties and ResponsibilitiesNew Business DevelopmentProactively identify, pursue, and convert new referral sources and prospective clients to meet and exceed admissions targets.Conduct regular outreach (calls, emails, inperson visits) to build and expand a highvalue referral network.Visit other like programs and develop strong referral relationships with placement services to build a larger, highquality referral base.Represent Brick House Recovery at conferences, community events, and industry functions to generate leads and create new business opportunities.Admissions & Sales Process ManagementAnswer all inbound calls whenever possible and convert inquiries into scheduled assessments and completed admissions.Execute the Admissions Core Process, including:Conduct insurance verification of benefits (VOB)Schedule and conduct intake screening assessmentsSchedule Chemical Dependency Assessments (CDA) with Clinical DirectorSchedule Psychological Evaluations with Medical StaffServe as the quarterback of the admissions process, ensuring every qualified prospect meets all standards and moves efficiently through to admission. This includes close coordination with Clinical, Medical, and Operations teams.Track and manage required metrics, including admissions volume, conversion rates, referral source performance, and commissions, using the Intake Flow Chart, Client Roster, Client Lifecycle, Scorecard, and other tools.Conduct financial discussions, set financial terms, and navigate the collection of deductibles in coordination with the Executive Director and Bookkeeper.Work with insurance, medical, and billing organizations to secure timely approvals for admission.Relationship Management & CommunicationMaintain regular, valuedriven communication with key referral sources and marketing representatives regarding client placement, program benefits, and outcomes.Collaborate with program management to update and improve marketing and communication materials, ensuring they clearly highlight Brick House Recoverys differentiators and competitive advantages.Clearly understand, interpret, and communicate the legality and meaning of all documents involved in client placement in a straightforward, professional manner.Make referrals to appropriate alternative programs when a prospect is not suitable for BHR, while maintaining the relationship for future opportunities.Assist in maintaining strong relationships with the community and local agencies to support ongoing brand reputation and lead generation.Program & Operational ExcellenceBe fully knowledgeable of the Brick House Recovery program, including the Brick House Blueprint, differential advantages, culture, duration, therapeutic model, and aftercare optionsand be able to sell these benefits confidently.Process and file all documentation related to the admissions and placement process; develop systems to communicate upcoming admissions to all relevant personnel in advance.Work closely with treatment and leadership teams to determine appropriateness of placement, balancing clinical fit with business growth.Collaborate with program management to ensure all sales and admissions activities align with policies, procedures, licensure, and accreditation standards.Participate in ongoing quality assurance activities and quality improvement meetings; maintain a clean and safe work area.Handle complaints promptly and professionally, escalating to management when additional support is needed.Assist Admissions department in maintaining licensure and accreditation according to licensing agencies.Integrate best program practices with organizational practices and model professional, missionaligned behavior.Level of SupervisionWorks under the direct supervision of the Admissions Director, with autonomy to plan and prioritize daily activities to achieve admissions and growth goals.Educational / Licensing RequirementsBachelors Degree preferred.Minimum of 2 years of experience in Sales, Business Development, Customer Service/Marketing, or a related field, preferably in healthcare, behavioral health, or a servicebased environment.Knowledge, Skills, and ExperienceProven track record in proactively generating and growing a book of business or referral network.Prior experience and familiarity with admissions or healthcare intake is helpful.Strong sales, negotiation, and closing skills, with the ability to move prospects from inquiry to admission.Advanced PC skills and broad business acumen, including an understanding of the profit chain.Strong communication, presentation, and relationshipbuilding skills.High level of organization and followthrough; able to manage multiple prospects and accounts simultaneously.Decision-Making ResponsibilitiesUses sound judgment regarding the immediate physical health, safety, and welfare of clients and prospective clients.Coordinates outside care as needed when Brick House Recovery is not the appropriate level of care.Plans and manages own time in carrying out assigned duties, with a focus on achieving measurable admissions and revenue objectives.Required to pass an Background Check and Pre-employment drug screening.
