Overview The ABA Agency Administrator oversees the daily operations of an Applied Behavior Analysis (ABA) agency, ensuring smooth coordination of clinical, administrative, and billing functions. This role supports behavior analysts, therapists, families, and insurance providers to deliver high-quality behavioral health services while maintaining compliance with payer and state requirements.

Key Responsibilities

  • Operational Management: Coordinate scheduling of therapy sessions, team meetings, and client intakes; maintain accurate client and staff records.
  • Compliance and Documentation: Maintain HIPAA-compliant systems, ensure clinical documentation meets Medicaid and private insurance standards, and prepare for audits.
  • Team Coordination: Support BCBAs, BCaBAs, and RBTs with administrative needs; communicate with families and staff regarding schedules, policies, and updates.
  • Notes Review and Oversight: Regularly review clinical and therapy session notes for accuracy and completeness; audit BCBA and RBT documentation to ensure compliance with payer and agency standards; follow up with clinical staff on missing, incomplete, or overdue session notes in a timely manner.
