Position Overview

We are seeking an experienced, highly polished Patient Care Coordinator to support the patient journey before and after consultation. This is not the typical coordinator role focused solely on surgical conversions, nor is it a role that conducts consultations. Instead, this position plays a critical role in helping patients understand and access the full suite of services available at VIPS — ensuring a seamless experience, thoughtful follow-up, and greater engagement across both surgical and non-surgical services.
The ideal candidate is a high-performing professional with a strong background in aesthetics, cosmetic dermatology, or plastic surgery, exceptional interpersonal instincts, and the ability to build trust while guiding patients through a personalized, supportive, and elevated experience. This is a results-oriented role, but success at VIPS is built on emotional intelligence, genuine relationships, and an unwavering commitment to the patient experience.
Key Responsibilities
- Serve as a primary point of contact for prospective and existing patients throughout the pre-consultation and post-consultation journey
- Manage inbound leads for both plastic surgery and medspa services, including responding to inquiries, handling lead calls, qualifying opportunities, and guiding next steps
- Own timely and consistent follow-up with prospective patients to nurture interest, maintain engagement, and move patients toward consultation, treatment, and ongoing care
- Track patient progression from initial inquiry through booking and treatment acceptance, maintaining accurate records and visibility into conversion activity
- Monitor lead flow, follow-up performance, booking outcomes, and conversion trends across surgical and non-surgical service lines
- Reinforce provider recommendations after consults by helping patients understand next steps, treatment options, scheduling, and available services in a clear and supportive manner
- Educate patients on the full range of services offered at VIPS, including both plastic surgery and non-invasive medspa treatments
- Identify opportunities to expand patient engagement across multiple service lines in a way that feels personalized, appropriate, and aligned with patient goals
- Partner closely with providers and the clinical team to ensure a seamless, high-touch patient experience
- Coordinate consult-related logistics, treatment planning follow-up, scheduling progression, and patient communications with professionalism, responsiveness, and attention to detail
- Ensure patients feel informed, cared for, and supported throughout every stage of their experience
- Track performance metrics and consistently work toward conversion, retention, and revenue goals while protecting the integrity of the patient relationship
- Deliver a luxury-level experience that reflects the VIPS brand at every touchpoint

- Consistently managing and converting leads across both plastic surgery and medspa service lines

- Increasing patient participation across multiple treatment categories by helping patients understand the full VIPS offering
- Supporting business growth through thoughtful, patient-centered coordination of surgical and non-surgical services when appropriate
- Creating a seamless and elevated experience that strengthens trust, loyalty, and long-term retention
- Demonstrating excellent judgment in balancing patient relationship-building with accountability to performance goals
- Representing VIPS with polish, professionalism, warmth, and confidence
Required Qualifications
Mandatory experience in aesthetics, cosmetic dermatology, or plastic surgery
- Proven success in a patient coordination, lead management, treatment coordination, consultation support, or sales-driven patient experience role within the aesthetic industry
- Demonstrated ability to manage lead flow, follow-up activity, and conversion outcomes with consistency and urgency
- Strong understanding of both surgical and non-surgical aesthetic services
- Excellent communication skills with the ability to build trust quickly and guide patients with confidence and professionalism
- High emotional intelligence and exceptional interpersonal instincts
- Strong organizational skills with the ability to track details, maintain follow-up cadence, and manage multiple patient conversations at once
- Professional presence aligned with a premium, patient-centered brand experience
