Summary:
Provide professional and courteous administrative support to both internal and external customers.
PRIMARY DUTIES AND RESPONSIBILITIES
· Answer telephone, disseminate information or resolve questions, and/or route calls to appropriate individual. Take messages and coordinate follow through.
· Receive, sort and distribute the mail
· Carry out administrative duties such as filing, typing, copying, binding, scanning etc. (i.e. Apprentice hours, phone listing, safety paperwork, time cards, application packets)
· Prepare and modify documents including correspondence, reports, drafts, memos and emails.
· Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
· Request, track, and scan insurance certificates for vendors and subcontractors
· Prepare panel schedules as directed by the Project Management Department.
· Generate, track and scan Master Subcontractor Agreements to ensure compliance with company policy.
· Resolves administrative problems by preparing reports, analyzing data, and identifying solutions.
· Ability to research, provide information and materials and work on special projects as assigned.
· Fill in for other Assistants when needed.
