Client Service Coordinator (CSC) Position - Specialty Departments

Are you looking for an opportunity to make a meaningful impact in pet care? At San Francisco Animal Medical Center (SFAMC), our mission is simple: to be the hospital we want to take our own pets to. We are seeking a compassionate, organized, and client-focused individual to join our team as a Client Service Coordinator (CSC) for our Neurology and Oncology Departments. This role offers the chance to support our Specialty departments while ensuring every pet and pet parent receives a five-star experience.

What You’ll Be Doing:

Communication:

  • Serve as the primary point of contact for communication between clients, nursing staff, and doctors.
  • Regularly monitor and promptly respond to department communications, including emails, Slack messages, voicemails, and other channels.
  • Direct communications to the appropriate nursing staff and/or doctors as needed.

Client Interactions:

  • Review treatment estimates with clients and address any questions or concerns.
  • Manage the collection of deposits and payments using various methods, including CareCredit and Trupanion Pet Insurance’s DirectPay.
  • Schedule and audit consultations, procedures, rechecks, and technician appointments.
  • Make reminder and confirmation calls for upcoming appointments.
  • Request and attach medical records, lab results, x-rays, cytology reports, and other necessary documents.

Appointment and Follow-Up Coordination:

  • Greet and room clients and their pets upon arrival.
  • Oversee the checkout process, ensuring all necessary paperwork is completed.
  • Review discharge instructions with clients.
  • Conduct follow-up calls to check on patients’ progress and address any client concerns.

Support and Administrative Tasks:

  • Coordinate the collection of signatures and mailing of sympathy cards.
  • Regularly check in with nursing staff and doctors to identify areas where support is needed.
  • Perform filing, organizing, scanning, and attaching of patient records and client information.
  • Complete various clerical and administrative tasks as required.

Other Duties:

  • Take on additional responsibilities and tasks as assigned to support the smooth operation of the clinic.

  • Excellent communication and interpersonal skills to interact professionally, empathetically, and respectfully with clients and team members.
  • Strong organizational and multitasking abilities to manage evolving priorities in a dynamic and sometimes stressful environment.
  • Proficiency in using technology, including practice management software, efficiently.
  • Attention to detail and a strong sense of personal accountability and reliability.
  • At least 6 months prior experience in a veterinary practice is required; candidates with a background in customer service within a specialty veterinary hospital will be strongly considered.
  • Compassionate and empathetic attitude toward clients and their pets.
