The practice is dedicated to providing exceptional clinical care with a personalized, boutique-style experience. The practice offers a variety of cosmetic and functional procedures for the areas around the eyes and face. We are dedicated to making a positive difference in the lives of our patients. As a boutique-style practice, we are a small office with a team based approach, it is critical for each team member to be able to contribute in a multitude of ways rather than having narrowly focused positions - i.e. there is no designated receptionist or surgery scheduler.

Job Overview

The Patient Care Coordinator is a key team player in our mission to provide the highest standard of care and service to our patients; and ensures that the patients' experience with our practice is seem-less and exceptional from start to finish.

Responsibilities

The Patient Care Coordinator/Medical Assistant is responsible for the following:

  • Greets each patient warmly and sincerely
  • Courteously answers inquiries and handles appointment requests in person, by phone, by EMR, and via online chat
  • Anticipates and fulfills the needs of each patient in a timely manner. Treats each patient respectfully, thoughtfully, and graciously at all times.
  • Prepares patients for physician examination (i.e. taking a history, performing a basic exam of vision, pupil assessment, motility, confrontational fields)
  • Scribes for physician
  • Patient education
  • Assists with in office procedures.
  • Schedules office and surgical visits accurately
  • Inputs and accesses data in practice management and appointment scheduling system
  • Interacts with insurance companies by phone or electronically regarding pre-authorizations, coverage, and billing, and other related activities
  • Explains financial and cancellation policies and cost estimates for out-of-pocket procedures to patients
  • Performs check-in and check-out of patients
  • Process payment transactions
  • Performs patient intake and inputs patient information into the electronic medical record system
  • Cleaning and sterilizing of instruments
  • Cleaning of exam rooms between patients
  • May cross train to perform other duties as necessary to support operations of the practice
  • Perform opening and closing duties per practice protocol
  • Protects the privacy of patients at all times

Qualifications

  • Must have high school diploma or equivalent
  • Must have minimum of 1-2 years of experience in the medical field
  • Experience in the healthcare or aesthetic industry is desired
  • Must be fluent in oral and written English
  • Must be proficient in working with the computer, internet, Microsoft Office
  • Must be able to prepare and review written documents accurately and completely
  • Must be able to communicate with others using clear and professional language
  • Must be polished and professional: hair must be neat and professional appearing; no perfumes; uniform must be clean and professional
  • Must be authorized to work in the US

  • Must have exceptional interpersonal skill, and be able to use tact, sensitivity and understanding when dealing with a variety of customer service scenarios, including potentially stressful and highly emotional situation
  • Must have great problem-solving skills and is pro-active and anticipates the clinic’s needs.
  • Must be a good team player.
  • Must be highly organized, reliable, works well on more than one task at a time, and have meticulous attention to detail
