How You’ll Make an Impact
- Own the daily service calendar: prioritize new requests, dispatch HVAC technicians, and adjust routes for maximum efficiency and customer satisfaction.
- Serve as the first point of contact for client calls and emails, capturing job details and setting clear expectations.
- Generate and track purchase orders, verify part costs, and ensure accurate job costing in the service software.
- Create and update work orders, maintain real-time status tags, and keep all stakeholders aligned.
- Collect site photos, checklists, and technician notes; assemble professional invoice packets, and email invoices within service-level agreements.
- Reconcile vendor invoices, packing slips, and delivery receipts in partnership with Accounts Payable.
- Maintain the preventive-maintenance schedule: order filters and consumables mid-month and prepare binders for upcoming visits.
- Keep leadership informed of schedule changes, material delays, or customer escalations and recommend solutions.
- Pitch in on projects such as new-hire onboarding, swag inventory, or process documentation.
- Promote a culture of safety, continuous improvement, and outstanding customer care.
What You’ll Bring
- Three or more years in an HVAC, facilities, or construction service office; dispatch or coordination experience preferred.
- Hands-on experience with field-service or ERP software (ServiceTrade, Jonas, FieldEdge, or similar) plus solid MS Office or Google Workspace skills.
- Ability to juggle multiple priorities calmly and stay organized in a fast-paced environment.
- Working knowledge of purchase orders, receiving, invoicing, and basic job costing.
- Clear, confident written and verbal communication and a customer-first mindset.
- Valid driver’s license and availability to work on-site Monday through Friday, 7:30 a.m. to 4:30 p.m.
