Position Summary
We’re looking for a detail-oriented, customer-focused Dispatcher to coordinate field service operations for our heating and cooling teams. You’ll be the first point of contact for incoming calls and will play a key role in making quick, accurate decisions about scheduling and dispatching. This role is fast-paced, requires excellent judgment, and is central to keeping our customers and technicians supported every day.
Key Responsibilities - Dispatcher
- Answer incoming phone calls with professionalism and determine the correct next steps (create a work order, dispatch a technician, transfer internally, or take a message).
- Enter service requests and job details accurately into dispatch software.
- Schedule and dispatch technicians based on urgency, skillset, and availability.
- Manage daily workflows, coordinating between office staff and field teams.
- Create and track work orders, estimates, and invoices.
- Communicate clearly with customers, technicians, and office staff to keep jobs on track.
- Adapt quickly to changing priorities, emergencies, and schedule adjustments.
Qualifications - Dispatcher
- Strong phone presence and customer service skills.
- Excellent communication and active listening.
- Ability to prioritize calls and decide the best course of action in real time.
- Exceptional organization and multitasking ability.
- Calm under pressure with strong time management skills.
- Attention to detail with consistent follow-through.
- Comfortable with technology: Google Workspace, Microsoft Office, and dispatch software (Housecall Pro a plus).
- Bonus: experience in HVAC, service industries.
- Bonus: knowledge of QuickBooks or other accounting software.
Physical Requirements
- Reliable transportation, valid driver’s license, and clean driving record.
- Excellent attendance and reliability in prior roles.
- Ability to sit, type, talk, and hear clearly for extended periods.
