POSITION OVERVIEW:
The Legal Intake Coordinator is a vital member of the firm’s front-line team, responsible for managing all incoming inquiries from potential clients. This role ensures a smooth and professional intake process by screening leads, gathering essential information, and coordinating consultations with attorneys. The ideal candidate will play a critical role in managing the intake process for new matters and prospective clients, ensuring accuracy, efficiency, and a seamless experience from first contact through case opening. This position works directly with firm leadership, attorneys, legal assistants, and operational teams, and combines client intake, administrative support, calendaring, and compliance responsibilities.
KEY RESPONSIBILITIES:
Client Intake & Screening
- Conduct intake consultations via phone or in person to gather essential information such as facts, timelines, and documentation to collect relevant information about prospective legal matters.
- Sign potential clients and ensure all documentation is completed accurately and promptly.
- Maintain accurate and organized records of client information, case details, and intake progress.
- Assess whether potential client matters align with the firm’s practice areas, including personal injury, employment law, and habitability.
- Ensure all relevant data is entered accurately into the firm’s case management systems (e.g., Clio, Lawmatics).
- Maintain a high standard of professionalism and empathy to create a positive client experience.
Case Evaluation Support
- Work closely with attorneys to help evaluate the merit of new cases based on legal standards.
- Coordinate follow-up tasks for potential clients who need additional time or information before moving forward.
- Schedule appointments and consultations with attorneys as needed.
- Analyze lead sources and contribute ideas to generate more qualified leads.
Document Collection & Management
- Request and organize documents from potential clients, such as photos, contracts, and correspondence.
- Assist in creating and updating matters in the firm’s document management systems.
Operational Support & Compliance
- Review and track engagement letters, billing arrangements, and other intake documents to ensure compliance with firm protocols.
- Contribute to the design and enhancement of intake and calendaring workflows and tools.
- Perform due diligence on new clients and ensure all intake documents are complete.
- Ensure all case openings and closings follow firm procedures and best practices.
Additional Duties
- Assist with legal administrative tasks as needed, including data entry and transcriptions.
- Support efforts to generate new leads and improve lead conversion strategies.
- Provide additional support as requested by management.
QUALIFICATIONS:
· 3–5 years of experience in legal intake, legal administration, or a professional services environment.
· Excellent written and verbal communication skills with ability to analyze and present data clearly and concisely.
· Excellent computer skills, advanced proficiency in MS Office Suite (Outlook, Word, PowerPoint, Excel, SharePoint) and legal software programs.
· Detail-oriented with strong organizational skills and ability to handle multiple projects and deadlines.
· Professional demeanor, strong work ethic, positive ‘can-do’ attitude, and results-focused drive with ability to work both independently and collaboratively.
· Stable work history demonstrating professional growth.
· Proactively request feedback from satisfied clients at appropriate points during or after case resolution, and encourage them to leave reviews on platforms such as Google and Yelp in accordance with the firm’s approved guidelines and timing.
PHYSICAL REQUIREMENTS:
Prolonged periods sitting at a desk and working on a computer. The employee is frequently required to sit most of the working day.
Job Type: Full-time
Pay: $20.00 - $35.00 per hour
