Overview
We are seeking a dedicated and detail-oriented Intake Coordinator to join our team at Archild. The Intake Coordinator will play a vital role in ensuring a smooth patient experience by coordinating the intake process, reviewing documentation, enrollment, and providing exceptional administrative support. This position requires strong organizational skills, familiarity with medical terminology, and the ability to work effectively in an office environment.
Responsibilities
- Manage the patient intake process by collecting and verifying necessary documentation.
- Review patient files for completeness and accuracy prior to appointments.
- Assist in scheduling appointments and coordinating with front desk staff to ensure efficient patient flow.
- Utilize DeTASo & Microsoft software for patient management and record keeping.
- Provide medical administrative support, including answering phone calls and responding to inquiries.
- Maintain organized files and records in compliance with clinic policies.
- Collaborate with office staff to facilitate communication between patients and providers.
- Initiate referral process for incoming families.
- Coordinate and schedule testing for incoming families.
- Coordinate communication between early childhood, special education teacher, classroom staff and therapists
- Manage data entry for children and therapists.
- Coordinate communication with local school districts.
- Track clients: wait list, exiting status, dismissals, etc.
- Generate and organize required paperwork for all conferences.
- Performs other related duties as assigned.
Qualifications
- Previous experience in a office setting is preferred.
- Strong understanding of medical terminology and documentation review processes.
- Proficiency in office management tasks, including filing, scheduling, and administrative support.
- Familiarity with DeTASO or similar practice management software is a plus.
- Excellent communication skills, both verbal and written.
- Ability to work effectively as part of a team while also being self-motivated.
- Attention to detail and strong organizational skills are essential for success in this role.
- Ensure regular daycare clients have initial and annual screenings

Job Type: Full-time
Pay: $16.50 - $20.00 per hour
