About the Role:
The WC/MVA Intake Coordinator plays a critical role in managing the initial intake process for workers' compensation (WC) and motor vehicle accident (MVA) cases. This position ensures that all relevant information is accurately collected, documented, and communicated to the appropriate departments to facilitate timely case management and resolution. The coordinator acts as a liaison between clients, medical providers, insurance companies, and legal representatives, ensuring a smooth flow of information and adherence to regulatory requirements. By maintaining organized records and following up on outstanding documentation, the coordinator helps reduce delays and supports efficient claims processing. Ultimately, this role contributes to delivering excellent client service and supporting the overall success of the claims management team.
Minimum Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred.
- Minimum of 2 years experience in a medical office, insurance, or claims intake environment.
- Proficiency with data entry and case management software.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Experience specifically with workers' compensation and motor vehicle accident claims intake.
- Familiarity with relevant state and federal regulations governing WC and MVA claims.
- Knowledge of medical terminology related to injury and treatment.
- Customer service experience in a healthcare or insurance setting.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Experience in WC/MVA cases or a healthcare administrative role preferred
- Familiarity with EMR systems and medical terminology is a plus
Responsibilities include, but are not limited to:
- Conduct initial patient intakes, gathering comprehensive medical histories and personal information
- Verify insurance and claim information, and obtain necessary authorizations for treatment
- Review submitted documentation for accuracy, completeness, and compliance with relevant standards
- Accurately enter and update patient data in the medical records system
- Coordinate and schedule appointments for new and existing patients
- Serve as a liaison between patients, insurance providers, attorney offices, employers, and healthcare teams
- Manage requests for medical records from insurance companies and upload necessary documentation to appropriate portals
- Support billing as needed, ensuring smooth coordination between intake and financial departments
