NW Pediatric & Family Nutrition is a busy group practice with eight dietitians supporting families with a non-diet, weight-inclusive approach to raising intuitive eaters. We’re seeking a Client Care Coordinatorwho is highly organized, detail-oriented, and experienced in healthcare administration to join our team.
This is a salaried, part-time position (20 hours/week) with a consistent weekday schedule and some flexibility. You'll work closely with our practice manager and current administrative assistant to ensure seamless onboarding and support for our clients and dietitians. The ideal person will be able to work 12-5pm M-F with some flexibility.
What You’ll Do:
- Answer phones and respond to inquiries from prospective clients with warmth and professionalism
- Manage the onboarding process for new clients, including sending intake paperwork, verifying benefits, and obtaining necessary referrals or records
- Schedule new and returning clients, maintaining full calendars for our dietitians
- Submit and track insurance authorizations and referrals
- Communicate with healthcare providers to request and follow up on documentation
- Update and maintain records in our Electronic Medical Record (EMR) system and shared trackers
- Reach out to new referrals to get started on our onboarding process.
- Collaborate closely with the administrative team, maintaining consistent communication with the practice manager and current admin assistant
- Occasionally visit our Portland office to restock materials or complete office-related tasks (approx. once/month)
What We’re Looking For:
- Direct experience in a healthcare or behavioral health setting
- Familiarity with submitting referrals, verifying insurance benefits, and using an Electronic Medical Record (EMR)
- Highly organized, dependable, and confident juggling multiple tasks
- Clear, professional communicator—both written and verbal
- A team player who’s proactive, responsive, and takes initiative
- Tech-savvy and comfortable working with Google Drive, EMR's, CRM, Excel spreadsheets.
Position Details:
- Part-time salaried position: 20 hours/week
- Schedule: Monday–Friday, with core hours between 12:00–5:00 PM PT
- Benefits: 2 weeks paid time off and 4 paid sick days per year
- Some schedule flexibility available when coverage or adjustments are needed
