Adara Surgical Institute is a well-established and growing private practice specializing in oral, maxillofacial, implant, and cosmetic surgery, as well as facial cosmetic procedures. We’re currently seeking a professional, organized, and compassionate Patient Intake Coordinator to be the welcoming voice of our practice and a vital member of our team.

Position Overview

As our Patient Intake Coordinator, you’ll play a critical role in supporting our patients from their first point of contact through their care journey. You’ll coordinate appointment scheduling, patient registration, and communication with referring offices, ensuring that each patient receives a seamless, professional, and caring experience.

Key Responsibilities

  • Serve referral patients with warmth and professionalism
  • Multi-phone line responsibility (on average, practice receives 60-80 calls a day)
  • Accurately collect and input patient information into our patient management system (DSN)
  • Schedule and coordinate new patient appointments based on patient needs and existing patient appointments based on treatment plans
  • Communicate promptly and professionally with referring offices
  • Answer patient inquiries regarding procedures, insurance, and financial matters
  • Assist with medical billing, insurance coordination, and collections
  • Maintain HIPAA compliance and ensure strict patient confidentiality
  • Collaborate closely with our surgical and administrative teams to support patient care and office flow

Qualifications

  • Prior experience in a dental office setting is required
  • Familiarity with EMR/PM software (DSN a plus)
  • Demonstrates a growth mindset and is adaptable to continuously improving workflows
  • Excellent verbal and written communication skills
  • Coachable and always receptive to constructive feedback
  • Strong organizational skills and attention to detail
  • Ability to multi-task and remain calm in a high-volume environment
  • Professional demeanor with a patient-centered attitude
  • Team player with a positive, can-do mindset
