Position Overview:
The Surgical Coordinator plays a critical role in managing the full surgical workflow— from patient education to post-operative care coordination. Orthopedic and spine experience is a plus. The ideal candidate is organized, self-motivated, and able to work well under pressure while maintaining excellent communication with patients, attorneys, and surgical facilities.
Key Responsibilities:
Daily Operations:
- Start-of-day system and communication checks (phone, computer, EMR)
- Clock in and log into NextGen Office
Precertification & Surgical Prep:
- Work daily surgery and pre-cert recall lists
- Confirm insurance financials; follow up with attorney or patient if needed
Patient Coordination:
- In-person (Clifton) and remote coordination for surgical candidates
- Explain procedures, obtain consent, assess for medical clearance
- Gather and confirm critical documentation: accident details, attorney info, declaration page, etc.
Surgery Scheduling:
- Set tentative dates based on precert timing
- Log detailed notes in EMR including CPT/diagnosis codes, provider info, legal details
- Coordinate with facilities (surgical centers or hospitals) via Casetabs or email
- Issue calendar invites for surgery teams as needed
Post-Op Follow-up:
- Check patients in/out of surgery in EMR
- Request/upload operative reports
- Notify billing company (Finch) and copy management
- Conduct 24-hour wellness check and schedule follow-up/PT
- Prepare disability/out-of-work notes
Medical Clearance:
- Submit consult orders and send documentation to PCP or internal providers
- Track and update clearance status in EMR
Financial & Documentation Oversight:
- Ensure authorizations and financials are aligned with insurance requirements
- Notify team of any missing information promptly
- Ensure all documentation is uploaded and properly labeled in NextGen
Qualifications:
- High school diploma or GED required
- Bilingual in Spanish and English – is a plus but not REQUIRED
- Strong computer skills and EMR experience (NextGen preferred)
- Prior experience in a medical office setting required
- Understanding of medical terminology and surgical workflows
- Experience with orthopedic and/or spine coordination is a plus
- Ability to multitask in a fast-paced environment
