As the Receptionist/Community Liaison at ACT, you will be the primary first point of contact for our organization—offering a warm, professional welcome to all who walk through our doors. This vital role blends front desk responsibilities with meaningful community engagement, ensuring that visitors, partners, and participants feel supported and connected from the moment they arrive.

Key responsibilities:
Reception Area/Front Desk Duties:
- Greet and direct visitors: Provide a welcoming and professional experience for visitors and staff, directing them to the appropriate location or person.
- Answer and manage phone calls: Answer incoming calls, take messages, and forward calls to the appropriate party.
- Manage office supplies and equipment: Keep track of office supplies, maintain equipment, and ensure the reception area is clean and organized.
- Handle mail and deliveries: Sort, distribute, and prepare mail and courier deliveries.
- Maintain records and files: Keep organized records of important documents and information.
Participant Assistance:
- Coordinate with the Hub to manage schedule participant appointments: Schedule appointments, manage calendars, and ensure accurate scheduling of participant appointments.
- Assist with questionnaire completion: Help participants understand and complete questionnaires accurately and efficiently.
- Assist the Hub in follow-up calls to participants: Conduct follow-up calls to update files, answer questions, and provide support to participants.
- Provide information and referrals: Offer assistance to participants seeking information about local resources, services, or events.
- Assist in maintaining participant databases: Update and maintain accurate and up-to-date information on participants.
Community Liaison:
- Knowledge of community resources: Stay informed about local community resources, services, and events.
- Assist in maintaining community leader databases: Update and maintain accurate and up-to-date information on community leaders.
- Promote community events: Inform participants and community leaders about upcoming community events and opportunities.
Other Responsibilities:
- Maintain a professional and welcoming reception area: Ensure the reception area is clean, organized, and welcoming for visitors.
- Perform other administrative tasks as needed: Assist with a variety of administrative tasks, including data entry, filing, and record-keeping.
- Maintains open communications with the ACT team: and utilizes tools such as the internal calendar, phone system, memos, and meeting notes to ensure the team is well-informed.
- Support preparation of staff meeting content and facilitation: (for meetings held twice a month) and coordination of speakers, meeting agenda, and note taking.
- Performs administrative functions and coordinates across the team: to ensure all office logistical needs are met and the office supply inventory is maintained (i.e. responsive to calls, meeting requests, receiving guests, distributing mail and deliveries, space requests confirmed, materials and supplies replenished, refreshments available, etc.)
- Facilitates use of office space by staff and community: ensuring a schedule is maintained for meeting areas.
Qualifications
- 1-3 years in a receptionist, administrative, or customer service role
- High school diploma required; an associate’s or bachelor’s degree is a plus.
- Excellent verbal and written communication skills.
- Strong multitasking abilities with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management
tools (e.g., Slack, Google Workspace).
- Friendly, approachable, and able to maintain confidentiality.
- Ability to thrive in a fast-paced and evolving environment.
- Experience working in Westside neighborhoods of Chicago; Austin community preferred
- Highly intelligent and strong attention to detail

Hours and Compensation
This is a full-time permanent position. The Receptionist/Community Liaison is expected to work Monday through Friday along with evenings and weekends when necessary. Salary is commensurate with experience and ranges from $40,000 to $50,000 plus benefits. The Receptionist/Community Liaison reports directly to the Service Delivery Enhancement Manager.
