Position Overview:

We are looking for a compassionate, sales driven and organized Front Desk Treatment Coordinator to join our team at Gameday Men's Health in Orange County. The Treatment Coordinator plays a critical role in ensuring each patient receives a seamless, positive experience, from their initial inquiry to post-treatment follow-up. This role involves managing patient leads, coordinating treatment plans, overseeing front desk operations, and providing exceptional service to every patient.

Key Responsibilities:

1. Patient Lead Management and Engagement:

- Act as the first point of contact for potential patients, answering inquiries, explaining services, and ensuring timely follow-up.

- Manage incoming leads through phone, email, and online channels, helping guide prospective patients toward scheduling and initiating their treatments.

2. Treatment Coordination:

- Educate patients on available treatments, answer questions, and coordinate treatment plans in alignment with patient goals and clinic protocols.

- Schedule appointments, manage patient charts, and ensure seamless communication between the clinical team and the patient.

3. Front Desk and Reception Management:

- Oversee daily front desk operations, including patient check-in and check-out, answering phones, sales and managing appointment confirmations.

- Provide a warm, welcoming atmosphere, greeting patients professionally and ensuring they feel comfortable and informed during their visit.

4. Financial Coordination and Payment Processing:

- Handle patient payments accurately, provide cost estimates, and explain payment options or financial policies as needed.

- Assist with any patient billing inquiries, ensuring transparency and addressing concerns with clarity and professionalism.

5. Patient Follow-Up and Satisfaction:

- Ensure follow-up communication post-treatment to address patient questions, reinforce care instructions, and monitor satisfaction.

- Resolve any patient concerns, reinforcing a positive experience and maintaining high satisfaction levels.

6. Inventory and Supply Coordination:

- Monitor and coordinate inventory orders for clinical supplies to ensure treatment rooms are fully stocked and prepared.

- Maintain relationships with vendors, place orders, and manage deliveries to support efficient clinic operations.

Qualifications:

- Prior experience in a medspa, healthcare or clinical setting, ideally in a treatment coordination, patient care, or customer service role such as plastic surgery, medspa or related cash-pay field.

- Strong communication, organizational, and interpersonal skills.

- Proficiency in handling payments, appointment scheduling, and patient engagement.

- Familiarity with CRM or lead management systems is beneficial.

- Ability to uphold a high level of confidentiality and professionalism.
