About the Position

We’re currently seeking a Patient Experience Coordinator to join our growing studio team. This dynamic, client-facing role is central to our operations—merging front desk responsibilities with scheduling coordination, client education, and back-end workflow support. You'll be a key point of contact throughout the client journey, helping ensure every interaction reflects our values and skin health philosophy.

Core Responsibilities

Client Experience & Care Support

  • Greet and assist clients throughout their experience—from initial inquiry through post-treatment follow-up
  • Provide informative guidance on treatment offerings and skincare regimens
  • Respond to new client inquiries, support booking processes, and contribute to client conversion
  • Maintain regular communication with existing clients to build trust and encourage retention
  • Manage intake forms, consent documents, checkouts, and post-care correspondence with warmth and precision

Studio Operations

  • Manage day-to-day studio activity to ensure smooth operations for both clients and providers
  • Coordinate schedules across providers and treatment rooms to optimize efficiency
  • Keep the studio environment clean, organized, and aligned with brand standards
  • Assist with operational logistics including EMR recordkeeping, inventory, and supply coordination

Brand Support & Community Engagement

  • Help plan and execute in-studio events and brand collaborations
  • Support social media initiatives in a voice that mirrors our brand values and client-centered approach

What We're Looking For

  • Minimum of 2 years in a client-facing role within aesthetic medicine, dermatology, high-end wellness, or luxury hospitality
  • Polished, intuitive communicator who builds trust with ease
  • Excellent verbal and written communication skills
  • Proficient with tech platforms including booking systems, EMRs, and inventory tools
  • Deep interest in skincare and aesthetic care (licensure is a plus but not required)
  • Exceptionally detail-oriented, organized, and poised in high-energy settings

Compensation & Benefits
