Kindred Treatment Center is a CARF-accredited outpatient behavioral health practice committed to closing the gap in care through trauma-informed, compassionate services. We proudly support individuals and families ages 7 and up throughout Carroll County, Maryland, and neighboring communities. Our integrated services include mental health therapy, substance use treatment, psychiatry, and medication management.
Position Overview
We are seeking a highly organized, detail-oriented, and dependable Intake Coordinator to join our positive and collaborative team. This role is perfect for someone who is passionate about helping others, thrives in a fast-paced environment, and brings experience in behavioral health or similar medical office operations.
As the first point of contact for new clients, you will play a key role in creating a welcoming, professional intake experience while maintaining front office functions and supporting psychiatric service coordination.
Key Responsibilities
Intake Coordination & Front Office Operations
- Manage intake process (respond to phone and email inquiries, schedule appointments , answer practice -related questions etc.)
- Provide exceptional customer service to clients and families via phone, email, and in-person
- Respond to records requests while maintaining HIPAA compliance
- Accurately enter and audit client data in the Electronic Health Record (EHR) system
- Ability to identify areas where we need improvement in client intake process and initiate the improvement measures
- Oversee front office operations by ensuring a clean, organized, and efficient workspace with strong attention to detail and consistent follow-through on tasks
- Verify insurance eligibility, communicate benefits, charge co-pays, and resolve billing inquiries
- Collaborate with clinical, billing, and intake teams to ensure accurate, timely care coordination
Medication & Psychiatry Support
- Support psychiatric nurse practitioners with administrative tasks related to client care
- Process medication refill requests and coordinate with prescribers and pharmacies
- Schedule psychiatric evaluations and follow-up appointments
- Track and manage prior authorizations, providing status updates to clients and providers
Qualifications
- Proficiency in electronic systems, digital files, and general computer skills, including accurate and efficient use of Electronic health records
- Solution-oriented and proactive in identifying and addressing operational challenges
- Strong organizational, communication, and problem-solving skills
- Confident and skilled in performing responsibilities, while remaining compassionate, client-centered, and sensitive to the needs of those receiving behavioral health care
- High school diploma required; Associate’s or Bachelor’s degree in Healthcare Administration or a related field preferred
