Job Description:
As a Warranty Administrator, you will play a critical role in ensuring that warranty claims are processed efficiently and accurately. You will work closely with service advisors, technicians, and manufacturers to manage warranty claims and documentation, ensuring that all warranty-related procedures are adhered to, and customers receive excellent service.
Key Responsibilities:
Warranty Claims Management: Process warranty claims in a timely manner by reviewing repair orders, verifying warranty coverage, and ensuring that all necessary documentation is completed accurately.
Claim Documentation & Submission: Submit claims to manufacturers, monitor claim status, and follow up to ensure approvals are received promptly.
Customer Interaction: Communicate with customers when necessary to provide updates on warranty coverage and claims status, ensuring a positive customer experience.
Parts & Labor Verification: Ensure that all parts and labor used during warranty repairs are appropriately documented and match the coverage guidelines.
Record Keeping: Maintain detailed and accurate records of warranty claims, including repair orders, parts used, and claims submitted.
Compliance: Stay up to date with manufacturer warranty guidelines, dealership procedures, and relevant regulations to ensure compliance.
Problem Resolution: Handle any issues or discrepancies that arise with warranty claims, working with manufacturers and internal departments to resolve them.
Collaboration: Work closely with service advisors and technicians to gather necessary information for claim processing and ensure all service-related warranty concerns are addressed.
Qualifications:
High school diploma or equivalent required; Associate’s degree or equivalent experience in automotive or business administration is a plus.
Previous experience in an automotive warranty administration role preferred.
Strong understanding of warranty policies, procedures, and coverage.
Detail-oriented with excellent organizational skills.
Strong communication skills (written and verbal).
Ability to work independently and manage multiple tasks in a fast-paced environment.
Proficient in using warranty processing software, dealership management systems (DMS), and Microsoft Office Suite.
