The PCC Project Specialist is a seasoned Patient Care Coordinator—ideally with at least one year of experience—who takes on a leadership role in supporting and guiding their fellow PCCs. This individual works closely with PCC Manager to foster a healthy, productive, and high-performing work environment.
The core responsibility of the PCC Project Specialist is to ensure that every patient interaction reflects first-class care and attention while also supporting and uplifting their PCC peers. In partnership with PCC Manager, the PCC Project Specialist plays a key role in training, mentoring, developing policies and procedures and maintaining company standards. A successful PCC Project Specialist leads with empathy, builds trust, and holds themselves to a high standard of accountability. They serve as an advocate, a role model, and a positive influence—both in the workplace and beyond—by consistently demonstrating professionalism, integrity, and alignment with the organization’s core values. This role requires strong collaboration across teams, including clinical staff, administrative personnel, and other departments such as Billing. The PCC Project Specialist is instrumental in promoting a culture of excellence, communication, and teamwork throughout the organization.
Floating and Coverage
● Serve as a flexible support resource by providing coverage at clinics during staffing shortages, high-volume periods, or special circumstances.
● Maintain working knowledge of multiple clinic locations, workflows, and staff preferences to provide seamless, consistent support.
● Be prepared to fill in for various front office roles and responsibilities with minimal notice, ensuring uninterrupted patient service and front desk function.
● Communicate proactively with leadership regarding availability, scheduling, and any clinic-specific needs during floating assignments.
Training and Onboarding
● Assist with onboarding and training new PCC staff, ensuring consistent education on policies, procedures, and expectations.
● Provide ongoing coaching and mentorship to current PCCs to support their professional development.
● Help maintain training materials and contribute to process improvement initiatives.
Workflow Oversight
● Monitor PCC workflows to ensure consistency, efficiency, and adherence to best practices.
● Identify bottlenecks or areas for improvement in day-to-day front office operations and recommend or implement solutions.
● Support the standardization of procedures across clinics when appropriate.
Project Management and Collaboration
● Assist with special projects as assigned by the PCC Manager or Clinic Director (e.g., scheduling updates, system implementations , Google Spreadsheets and Google classroom, patient engagement initiative.)
● Collaborate with other departments (Billing, Clinical, Administrative) to ensure alignment and communication across teams.
● Help track progress of assigned initiatives and report outcomes or recommendations.
● Maintain Raintree EMR By auditing patient evaluations, forms, faxes, patient info updates and any other dashboard functions.
Quality and Compliance
● Uphold high standards of patient service and administrative accuracy.
● Ensure adherence to company policies, HIPAA regulations, and front office compliance procedures.
● Assist in monitoring key performance indicators (KPIs) related to patient experience, front desk efficiency, and PCC performance.
Communication and Culture
● Encourage open, honest communication within the PCC team.
● Provide constructive feedback and celebrate team wins to foster morale.

Skills
● High School Diploma or equivalent.
● Working knowledge of insurance terminology, EMR and general policies and procedures.
● Be proficient in motivating and encouraging others.
● Be comfortable and have experience with resolving conflict.
● Ability to multi-task in a fast-paced work environment.
● Proficient with Google Office Suite – Gmail, Sheets, Docs, Chat.
● Track record of exceptional customer service.
● Front Desk experience in a health care setting
● Demonstrates a higher level of customer service and interpersonal communication skills.
● Ability to quickly adapt to new work environments and personnel.
● Ability to maintain confidentiality and abide by HIPAA regulations.
