The Customer Care Coordinator provides first-line support to referral sources and patients, ensuring all orders are processed accurately and efficiently. This role involves high call volumes, insurance verification, order entry, and strong follow-up to deliver outstanding customer service every step of the way.Essential Responsibilities:
- Receive and process orders via fax, email, and other platforms
- Answer high volumes of incoming calls from patients and referral sources
- Use HIPAA-compliant communication tools, such as text and chat features
- Verify insurance eligibility and coverage
- Complete member intake and enter orders accurately and in a timely manner
- Inform patients of applicable copays, financial obligations, and product options
- Maintain thorough documentation of account updates and case notes
- Follow up on open tasks and outstanding documentation
- Stay current on home care products, insurance guidelines, and company offerings
- Communicate with patients, payors, and physicians to obtain required documentation
- Comply with HIPAA, OSHA, and all company policies and procedures
- Participate in the on-call and call-back program for emergencies
- Maintain daily attendance, punctuality, and readiness to work
Qualifications:
- High school diploma or equivalent required
- 3+ years of customer service experience
- Minimum 1 year of call center or healthcare environment experience
- Excellent listening skills and ability to communicate with empathy
- Strong verbal and written communication skills with professional, tactful delivery
- Ability to multitask and stay organized in a fast-paced setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with databases and standard office equipment
- Knowledge of major insurance carriers, reimbursement guidelines, and coverage eligibility is a plus
- Must be available to work evenings, weekends, and holidays if needed
