Job Summary:
The Senior Benefits Specialist is responsible for administering the company’s Health and Financial Wellness programs. This includes ensuring regulatory compliance, providing member support and continuously improving the member experience. This role also provides leadership to a small Benefits Administration team and plays a key role in driving process improvements and strategic benefit initiatives.
This individual will take ownership of relationships with third-party administrators (TPAs) and other benefits partners. They will contribute to plan design evaluation, benchmarking, and ensure the competitiveness and compliance of our offerings.
Essential Functions:
- Respect and engage. Serve as the primary contact for benefit-related inquiries. Guide new hires and current members through benefit options, coverage questions, COBRA administration, and separation paperwork. Maintain a proactive communication cadence around health and financial wellness offerings to drive engagement.
- Communicate. Own and maintain relationships with third-party administrators and benefits vendors. Coordinate benefit-related processes, such as contribution analysis and annual true-ups.
- Results matter. Oversee day-to-day benefit operations including payroll deductions, monthly carrier billing, and accurate HRIS data entry. Conduct audits and ensure data integrity across systems.
- Integrity. Manage key compliance activities including ERISA, ACA reporting, 5500 filings, nondiscrimination testing, and other required federal and state disclosures. Ensure adherence to internal policies and legal regulations.
- Measurement. Conduct benefits benchmarking and market analysis to assess competitiveness of plan offerings. Provide recommendations to leadership based on data-driven insights.
- Obligated. Lead the planning and execution of Open Enrollment and member benefit orientation sessions. Ensure a positive experience through clear communication and strong logistical coordination.
- Mastery. Identify opportunities to streamline administrative processes, improve member experience, and enhance the efficiency of benefit operations.
- Ownership and caring. Supervise the Benefits Administration team, setting clear expectations, ensuring accountability, and supporting professional development.
Requirements, Education and Experience:
1. 5 years Benefits Administration experience preferred.
2. Associate’s degree required, bachelor’s degree in HR, Business or related field advantageous.
3. Proficiency in Microsoft Office, particularly Excel, with the ability to organize, analyze, and manipulate data effectively.
4. Demonstrated ability to engage members and drive continuous improvement with a service-oriented and analytical approach.
5. Experience working in union and non-union environments preferred.
6. Strong communication skills with the ability to collaborate effectively across all levels of the organization.
7. Legal right to work in the U.S.

Travel:
Position may require travel by personal vehicle to offices throughout the state of New York and New England based on the needs of the business.
Work Environment/Physical Demands:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers. This is mostly sedentary, outside of travel, in an office space. The abilities to sit at a desk, frequent walking, bending, or standing, as necessary, are required.
