Position Summary:

The Mental Health Intake Coordinator serves as the first point of contact for new and existing clients. This role is critical in ensuring a smooth and supportive intake process, handling phone inquiries, scheduling appointments, and coordinating with therapists to ensure appropriate client-provider matches. The ideal candidate is compassionate, organized, detail-oriented, and able to manage a high volume of administrative tasks with professionalism and care.

Key Responsibilities:

  • Answer incoming phone calls and respond to inquiries in a friendly, empathetic, and professional manner
  • Gather and document client information during intake calls, including reason for seeking therapy, insurance details, and availability
  • Coordinate therapist schedules and caseloads to ensure proper client-therapist fit based on specialization, availability, and client needs
  • Maintain accurate and confidential client records in compliance with HIPAA regulations
  • Follow up with clients regarding appointment confirmations, cancellations, and rescheduling
  • Assist clients with questions regarding services, insurance, billing, or general concerns
  • Collaborate with clinical and administrative staff to support smooth clinic operations
  • Maintain knowledge of therapists’ specialties, schedules, and availability
  • Have a willingness to wear multiple hats and chip in when needed
  • Familiarity with client billing, and insurance eligibility and benefit process
  • Ability to manage a variety of personalities and demands with patience and compassion.
  • Participate in regular team meetings and contribute to a positive and supportive workplace culture

Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in psychology, social work, or a related field preferred
  • Prior experience in a healthcare, behavioral health, or administrative role strongly preferred
  • Strong verbal and written communication skills
  • Ability to remain calm and professional in high-pressure or emotionally charged situations
  • Excellent organizational and multitasking abilities
  • Proficiency with scheduling software, electronic health records (EHR), and Microsoft Office Suite
  • Strong interpersonal and communication skills
  • Comfortable discussing sensitive topics with clients in a supportive manner
  • Familiarity with HIPAA regulations and client confidentiality practices
  • Career orientation
