- Serve as the initial liaison for potential clients, ensuring a compassionate and professional intake experience
- Conduct phone screenings and gather required demographic, clinical, and insurance information
- Verify insurance eligibility and obtain necessary authorizations for outpatient and CBHI services
- Accurately enter and maintain intake data in the electronic health record system (EHR)
- Coordinate with clinical staff to schedule initial assessments and assign cases based on client needs and provider availability
- Communicate with referral sources, including schools, pediatricians, state agencies, and families
- Monitor and track pending intakes, ensuring timely follow-up and case activation
- Maintain up-to-date knowledge of CBHI and outpatient program requirements and service pathways
- Collaborate with billing and administrative teams to ensure smooth transitions into care
- Uphold client confidentiality and comply with HIPAA regulations at all times
- Other duties as assigned by the supervisor/manager.
Required Skills & Qualifications:
- High School Diploma or equivalent
- Strong organizational skills with attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to multitask in a fast-paced environment while maintaining professionalism and empathy
Preferred Skills & Qualifications:
- Associate's or Bachelor’s Degree in Human Services, Psychology, or related field preferred
- Prior experience in a mental health or healthcare intake setting strongly preferred
- Knowledge of CBHI services and the Massachusetts behavioral health system a plus
- Proficiency in Google Suite and EHR systems (e.g., TherapyNotes, Monday.com or similar)
- Fluent in Spanish, including speaking, reading, and writing
