• Serve as the initial liaison for potential clients, ensuring a compassionate and professional intake experience
• Conduct phone screenings and gather required demographic, clinical, and insurance information
• Verify insurance eligibility and obtain necessary authorizations for outpatient and CBHI services
• Accurately enter and maintain intake data in the electronic health record system (EHR)
• Coordinate with clinical staff to schedule initial assessments and assign cases based on client needs and provider availability
• Communicate with referral sources, including schools, pediatricians, state agencies, and families
• Monitor and track pending intakes, ensuring timely follow-up and case activation
• Maintain up-to-date knowledge of CBHI and outpatient program requirements and service pathways
• Collaborate with billing and administrative teams to ensure smooth transitions into care
• Uphold client confidentiality and comply with HIPAA regulations at all times
• Other duties as assigned by the supervisor/manager.

Required Skills & Qualifications:

• High School Diploma or equivalent
• Strong organizational skills with attention to detail and accuracy
• Excellent communication and interpersonal skills
• Ability to multitask in a fast-paced environment while maintaining professionalism and empathy

Preferred Skills & Qualifications:

• Associate's or Bachelor’s Degree in Human Services, Psychology, or related field preferred
• Prior experience in a mental health or healthcare intake setting strongly preferred
• Knowledge of CBHI services and the Massachusetts behavioral health system a plus
• Proficiency in Google Suite and EHR systems (e.g., TherapyNotes, Monday.com or similar)
• Fluent in Spanish, including speaking, reading, and writing
