Patient Care Coordinator –

Join our premier Plastic Surgery and Medical Spa practice as a Patient Care Coordinator, where exceptional patient service and attention to detail are at the heart of everything we do. In this key front-office role, you will serve as the first point of contact for patients seeking cosmetic surgical and aesthetic treatments, helping create a welcoming, luxurious, and professional experience from consultation through follow-up care.

The ideal candidate is polished, organized, personable, and experienced in a fast-paced aesthetic or medical environment. You will play an essential role in coordinating patient appointments, supporting providers, managing communications, and ensuring each patient receives outstanding care and service throughout their aesthetic journey.

Responsibilities

  • Welcome patients warmly and provide a high-end, concierge-style experience during check-in and check-out.
  • Schedule and coordinate consultations, surgical procedures, injectable appointments, laser treatments, and follow-up visits.
  • Confirm appointments and maintain provider schedules efficiently to maximize patient flow and office productivity.
  • Educate patients on pre-treatment and post-treatment instructions while ensuring all necessary forms and consents are completed accurately.
  • Collect and verify patient demographics, insurance information (when applicable), medical histories, and financing documentation while maintaining HIPAA compliance.
  • Communicate professionally with patients regarding treatment plans, appointment details, skincare recommendations, and follow-up care.
  • Assist providers and clinical staff with administrative support, patient chart updates, and treatment documentation.
  • Process payments, financing applications, cosmetic package purchases, and assist with billing and insurance coordination as needed.
  • Maintain a polished and organized reception area consistent with a luxury aesthetic practice environment.
  • Support daily office operations, retail skincare sales, and patient retention initiatives.

Qualifications & Skills

  • Previous experience in a plastic surgery, cosmetic dermatology, medical spa, or aesthetic healthcare office strongly preferred.
  • Knowledge of cosmetic procedures and treatments including injectables, laser treatments, body contouring, skincare services, and surgical consultations.
  • Excellent interpersonal and communication skills with the ability to build rapport and maintain patient confidentiality.
  • Professional appearance and customer-service-oriented mindset with a passion for aesthetics and wellness.
  • Strong organizational and multitasking abilities in a fast-paced clinical environment.
  • Experience with electronic medical records (EMR/EHR), scheduling software, and medical office systems.
  • Understanding of medical terminology, patient coordination, insurance verification, and financing options.
  • Sales experience or ability to discuss treatment plans, memberships, and skincare products confidently is a plus.
  • Ability to work collaboratively with providers, nurses, aestheticians, and office staff.
