Position Summary
The primary purpose of this position is to maintain the employee and client profiles of the field staff and ensure compliance of our records in accordance with current federal and state laws as well as the internal standards governing our Agency. The Portal Manager manages, coordinates, evaluates, and develops the client care team to ensure quality care delivery and appropriate case management.
Qualifications
· High school graduate, college degree preferred.
· Minimum of three (3) years experience in staffing or related field, preferably in home health care.
· Previous supervisory experience strongly preferred.
· Personal computer and data entry skills required.
· Exemplary organization, problem-solving, decision-making and conflict resolution skills required.
· Must speak, write, read, and understand English.
Job Description
· Ensure all client information, care records, and scheduling data entered into the portal is accurate, complete, and compliant with state and federal regulations.
· Collaborate with care coordinators and management to ensure the portal's features align with the agency's operational procedures.
· Serve as the main point of contact for users—clients, families, and caregivers—who need assistance with the portal. This includes training new users and resolving login, scheduling, or communication issues.
· Investigate and resolve complaints or issues raised by clients, their families, or staff, taking corrective action as needed.
· To ensure supervisions, appraisals and performance reviews of Care Staff are carried out in line with agency standards
· Responsible for identifying and resolving non-compliance of field staff including uploads of disciplinary actions to portal
· Ensure you and your team actively participate in training to ensure personal development and to build knowledge and competence relative to their roles
Skills & Abilities
Experience: Previous experience in healthcare, particularly in a home care or administrative management role, is highly valued. Familiarity with electronic medical records (EMR) or care management software is essential.
Technical proficiency: The ability to navigate and troubleshoot digital platforms is critical. Many roles require proficiency with the Microsoft Office Suite and other computer systems.
Communication skills: Excellent written and verbal communication is necessary to support users, provide clear instructions, and convey technical issues to the IT team.
Organizational and problem-solving skills: Strong organizational skills are needed to manage multiple user requests and technical issues simultaneously. The ability to troubleshoot and think critically to solve problems is also key.
Leadership and interpersonal skills: The ability to work collaboratively with a diverse group of users and internal teams is important. Strong leadership skills may be required to train and oversee a team of caregivers or other staff.
Empathy and patience: A successful portal manager must be patient and compassionate when assisting clients and families who may be stressed or not tech-savvy. They must also show empathy towards caregivers' daily challenges.
