Make a real difference behind the scenes in patient care

At Action Seating & Mobility, our team helps patients regain independence through customized mobility equipment. The Action Care Coordinator (ACC) plays a critical role in making that happen by coordinating documentation, referrals, and communication between providers, therapists, insurers, and patients.

This role is ideal for someone with experience in:

referral coordination
prior authorizations
therapy scheduling
medical intake
case coordination
insurance verification workflows

If you’ve supported complex healthcare paperwork or multi-step patient processes, this position is a strong match.

Requirements:

What you’ll do

You’ll manage the flow of documentation that allows patients to receive medically necessary mobility equipment. Responsibilities include:

  • Coordinating patient referrals from intake through completion
  • Verifying insurance eligibility and documentation requirements
  • Requesting physician and therapist paperwork
  • Tracking missing documentation and preventing delays
  • Communicating with ATPs, clinicians, billing teams, and patients
  • Maintaining accurate workflow tracking logs
  • Supporting audit-ready patient records (HIPAA compliant)
  • Assisting with scheduling coordination tied to equipment evaluations
  • Monitoring case progress and follow-ups

This is a coordination role—not a front-desk position.

Strong candidates often come from backgrounds such as

  • Referral Coordinator
  • Therapy Scheduler (PT / OT / ST)
  • Prior Authorization Specialist
  • Medical Intake Coordinator
  • Case Management Support
  • Imaging Authorization Staff
  • Home Health Intake
  • Specialty Clinic Scheduling Teams

Experience with insurance workflows and provider documentation is especially valuable.

What helps candidates succeed in this role

We look for people who:

  • Stay organized across multiple active cases
  • Follow documentation through to completion
  • Communicate confidently with clinics and providers
  • Track deadlines and missing paperwork
  • Adapt quickly in fast-moving healthcare workflows
  • Enjoy solving problems and helping patients move forward

Experience with EMR systems, referral tracking tools, or insurance portals is helpful.

Qualifications

Required:

  • High school diploma or GED
  • At least 1 year of healthcare administrative experience
  • Experience verifying insurance OR coordinating referrals OR scheduling evaluations
  • Strong attention to detail and follow-through

Preferred (but not required):

  • Prior authorization experience
  • Therapy or specialty clinic scheduling
  • Case coordination exposure
  • DME or mobility equipment familiarity

We provide training in Complex Rehab Technology workflows.

Why join Action Seating & Mobility

You’ll be part of a mission-driven team helping patients regain independence and mobility every day.

We offer:

  • Structured training in a growing healthcare specialty
  • Career pathway into advanced coordination roles
  • Exposure to clinical mobility equipment processes
  • Supportive cross-department team environment
  • Stable weekday schedule (no weekends)
  • Medical, dental, vision, and 401(k)

A quick note about fit

This position is best suited for candidates who enjoy tracking documentation, coordinating providers, and managing multi-step healthcare workflows rather than traditional reception-only responsibilities.

If that sounds like your background, we encourage you to apply.
