INTAKE COORDINATOR

JOB DESCRIPTION

Summary:

The Intake Coordinator position is a full-time, exempt employee of the Child Abuse Council. Work hours are Monday through Friday, 8:30am-5:00pm. The Intake Coordinator reports to the Client Intake Supervisor/Family Advocate but works as a team with other Advocacy Center staff. This position is not responsible for supervising other members of the team.

Core Skills and Knowledge Required:

  • Excellent verbal and written communication skills
  • Ability to multi-task
  • Knowledge in running computer software, including maintaining a database
  • Knowledge and/or formal training in the trauma-informed care model
  • Understanding of HIPPA compliance

The In-Take Coordinator will:

Front Desk Responsibilities:

· Open the office each morning

· Greet clients and assist in completing forms

· Provide a warm, clean, safe and comfortable environment for clients and staff

· Manage appointment requests and schedule, modify, and delete appointments for forensic interviews and therapists

· Create clients and assign therapists in data tracking software

· Follow-up on incomplete paperwork

· Troubleshoot with new clients

· Collect list of supplies needed and communicate that list to Executive Director for ordering

· Maintain current staff and team contact information

Record Keeping Responsibilities:

· Maintenance of all forms and packets used in intake/assessment, crisis counseling, case reviews and all other services offered at the Children’s Advocacy Center

· Maintenance of computer files containing data on clients, demographics, and case information using data tracking software.

· Maintenance of client files; prepare and provide all required reports reflecting client activity.

· Retain files of signed forms concerning privacy for all staff, volunteers and MDT members

· Handle release of records requested according to agency policy

MDT Support Responsibilities:

· Coordinate participation in interviews, medical examinations as appropriate

· Conduct reminder phone calls to clients

· Notify the Team when client(s) arrive

· Attend all team meetings

· Record and publish all minutes of team meetings

General Activities:

· Provide office coverage as needed

· Complete all monthly time sheets

· Attend conferences, seminars, and/or meetings pertinent to the program or organization and individual professional development

· Serve as a member of the Children’s Advocacy Center multidisciplinary team

· All other duties as assigned.

Qualifications:

Associates degree in related field or equivalent combination of education and experience is required. Candidates will have the ability to communicate with staff and volunteers; good verbal and written communication skills are necessary. Candidates must be willing to make a commitment to the Child Abuse Council and its goals and mission.

Pay: $40,000.00 per year
