Patient Care Coordinator
The Patient Care Coordinator is instrumental in helping patients to receive great care with the attention and follow-up they need for optimal healthcare experiences. This requires a flexible attitude, quick thinking, and a caring disposition. Duties may vary from day-to-day and week-to-week but can involve the following tasks and responsibilities. Mondays, Wednesdays, and Thursdays hours are 7:30 am-5:30 pm. Tuesdays hours are 10:30 am-8:30 pm.
Responsibilities:
· Some responsibilities for Patient Care Coordinator would include answering phones, greeting patients, check in/out, collecting copays, daily deposit, scheduling appointments, follow up and confirmation calls along with insurance submission.
· Once a treatment is chosen and accepted by the patient, the Patient Care Coordinator will lay out potential payment plans and explain the next steps for treatment.
· Interact with Dentist(s) and clinical team regularly to ensure clarity and alignment on treatment options.
· Answer calls and emails from patients when they have questions or concerns about the treatment plan.
· Submit predeterminations to the insurance company; send appeals for denied predeterminations.
· Once predetermination is back from the insurance company patient will be called to inform them of their responsibility; schedule patient if they are ready or place on unscheduled list for a future time.
· Make financial arrangements with patients and write up contracts for patients on large procedures/treatment cases.
· Coordinate with specialty offices to improve patient experience and office performance; download and email referrals and x-rays with follow up.
· Works with special programs and charities to help their members/patients get the healthcare that is needed.
· Organizing and maintaining the Periodontal Patients program.
· Communicate with other dental and medical providers.
· Take responsibility for the patient base and work toward having no patient with incomplete treatment plans.
· Maintains patient care database by entering new information as it becomes available, verifying findings and reports.
· Charting existing treatment plan into the patient chart when follow-ups arrive.
· Kleer membership plan introduction to patients and facilitate the process including payments and reports.
- Lab cases: scan lab slips, check lab cases in & out, keep track of lab cases, and input invoices into the Doctors’ mailbox. Along with partnering up with the Billing Coordinator on cases.
- Must be able to work both independently and cooperatively in team settings.
· Protects self, co-workers, and patients by complying with rules and regulations. Especially with Covid-19, there are protocols in place for the safety of the patients and Team members that must be followed.
· Knowledge of HIPAA, OSHA, fire safety, CPR, and infection control.
· Be willing and able to learn enhanced systems, processes, and culture.
· Follow and design office work-flow procedures with accuracy and speed.
· Must maintain regular, consistent, and punctual attendance in accordance with assigned schedule and time off policies.
· Contributes to team effort by accomplishing related results as needed.
Patient Care Coordinator Skills and Qualifications:
· Compassionate nature
· Above average critical thinking skills
· One year or more working in a healthcare environment
· Experience with computer programs, such as MS Office
· Customer service experience in a dental setting preferred.
· Knowledge of ADA codes/procedures
· Strong understanding of Dental Insurance to operate successfully as a Patient Care Coordinator
