Position Overview:
We are seeking a professional, empathetic, and highly organized Intake Specialist / Intake Coordinator to serve as the primary point of contact for prospective clients at our personal injury law firm.This position requires fluency in both Spanish and English, as a significant portion of our client base is Spanish-speaking.
The Intake Specialist / Coordinator is responsible for aiding attorneys in conducting intake consultations with potential clients, in both English and Spanish, gathering and evaluating case information, and presenting qualified matters to attorneys for acceptance decisions. This role is essential to client experience, case quality, and firm growth, particularly in ensuring clear, accurate, and culturally competent communication with Spanish‑speaking clients.
In addition, this position will provide ancillary administrative and clerical support to other team members as needed in a collaborative small‑firm environment.
Key Responsibilities:
Client Intake & Consultation
- Serve as the first point of contact for prospective clients via phone, online inquiries, and referrals.
- Conduct structured intake consultations directly with potential clients to gather detailed information regarding: Accident circumstances and liability, Injuries and medical treatment, Insurance coverage and involved parties
- Conduct intake consultations fluently in both English and Spanish, ensuring clear and accurate communication with Spanish‑speaking clients.
- Exercise sound judgment in screening cases in accordance with firm guidelines, while refraining from providing legal advice.
- Build rapport with prospective clients through clear, professional, and empathetic communication.
- Educate prospective clients on the firm’s intake process and next steps.
Case Screening & Lead Management
- Evaluate intake information to determine whether matters meet firm criteria for attorney review.
- Prepare clear, concise, and accurate intake summaries for attorney decision‑making.
- Maintain complete and accurate intake records in Lawmatics
- Assure case transfer from Lawmatics to CMS
- Track leads through decision, follow‑up, acceptance, or declination.
- Conduct timely follow‑ups with prospective clients to ensure continuity and strong client experience.
Client–Attorney Coordination
- Act as a liaison between prospective clients and attorneys following intake consultations.
- Present intake summaries, documentation, and relevant facts to attorneys for approval or declination.
- Communicate attorney determinations to prospective clients in a professional and client‑centered manner.
- Coordinate onboarding steps for accepted cases, including handoff to case management and file creation and CMS.
- Promptly escalate urgent, time‑sensitive, or high‑value matters to firm leadership.
Administrative & Ancillary Support
As part of a collaborative small-firm environment, the Intake Specialist / Coordinator will also assist with clerical and administrative support as needed, including:
- Scanning, uploading, and organizing documents.
- Data entry and basic file maintenance.
- Assisting with mail processing and administrative tasks.
- Providing support coverage during periods of high workload or staff absences.
- Assisting with special administrative or operational projects as assigned.
· Perform other tasks as required to support firm operations
Qualifications:
Required
- Fluency in Spanish and English (both written and verbal) is required
- Minimum of 2 years of experience in personal injury legal intake
- Strong interviewing, communication, and interpersonal skills.
- High attention to detail and excellent organizational abilities.
- Ability to exercise discretion and judgment while adhering to firm protocols and ethical boundaries.
- Professional demeanor and commitment to confidentiality.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively

Preferred
- Experience using Lawmatics (a CRM/intake platform)
- Familiarity with personal injury case types and intake screening criteria.
- Passion for customer service and helping clients navigate complex legal matters
