The Patient Care Coordinator is the first and last impression of Laredo Hearing & Balance Solutions. This role is responsible for delivering an exceptional, high-touch patient experience through proactive communication, de-escalation skills, and operational excellence.
The PCC protects the brand, preserves patient trust, and ensures every interaction reflects professionalism, empathy, and efficiency.
Duties
- Serve as the primary point of contact for all patients (phone, in-person, email).
- Greet every patient warmly and professionally.
- Set expectations clearly for appointments and next steps.
- Maintain a calm, confident presence during high-pressure moments.
- Manage upset, anxious, or frustrated patients with professionalism.
- Listen actively without interrupting.
- Validate concerns without assigning blame.
- Speak clearly, warmly, and confidently.
- Confirm and repeat important details to avoid errors.
- Document all significant phone interactions accurately.
- Optimize daily schedule to maximize provider efficiency.
- Reschedule strategically — not randomly.
- Collect accurate patient demographics and insurance information.
- Verify authorizations and documentation before appointments.
- Collect payments accurately and professionally.
