Responsibilities
- Greets and welcomes patients and visitors in a professional and empathetic manner, anticipating patient anxieties and answering questions. Manages multi-line phone systems, screening calls, taking messages, and directing inquiries to appropriate staff or healthcare providers. Assists patients with form completion, including intake, consent, and insurance documentation. Stays abreast of all services provided within the center. Schedules, confirms, and reschedules patient appointments and follow-up visits efficiently using electronic health records (EHR) and scheduling software. Maintains accurate and up-to-date patient records, including personal demographics, medical history, and insurance details, ensuring HIPAA compliance. Coordinates patient flow within the clinic to ensure appointments run on time.
- Provides administrative support to Counseling & Psychological Services Programs including but not limited to training programs and outreach programs. Provides administrative support to clinical staff as needed. Utilize computer and information technology to organizes and maintain client records and files for the department. Responsible for creating, assigning, and retrieving files for new and/or existing clients. Consults with co-workers to protect sensitive and confidential information and to ensure ethical clinical procedures are followed. Ensures all patient paperwork is complete and accurately filed.
- Performs property inventory for department. Serves as back-up for administrative functions, primarily travel and procurement.
Qualifications
A high school diploma or equivalent and two years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)
Preferred Qualifications
- Experience working in an office health setting.
- Ability to communicate effectively, verbally and in writing.
- Knowledge of office practices, procedures and etiquette.
- Attention to detail, time management and ability to work independently.
