Polsinelli PC is seeking a New Business Intake (NBI) Coordinator. This role may be hired as hybrid or remote but must be located near a Polsinelli office.
Position Summary
The NBI Coordinator is responsible for maintaining daily workflow, running conflict checks, making client and matter adjustments, and providing exceptional customer service. This role always requires a high level of accuracy and strict adherence to confidentiality.
Core Responsibilities
- Complete detailed conflict of interest reports including necessary research in outside databases such as Dunn & Bradstreet, Secretary of State sites, company websites, and Google
- Review of matter information including engagement letters and rerunning of search logs that are expired
- Notify attorneys of issues for matter opening process
- Communicate with legal administrative assistants/attorneys with regards to questions on the status of requests, how to list parties, how to update requests, etc.
- Assist with projects as needed and other duties as assigned
- Maintain client and employee confidence; protect operations by safeguarding confidential information
- Consult the NBI Reference Manual for proper procedures and information
- 1–2 years of NBI or conflicts experience required
- Prior legal industry new business intake or conflicts experience preferred
- Bachelor’s degree preferred, or an equivalent combination of education and experience
- Proficiency in Microsoft Office applications and the use of online databases and resources (e.g., Dunn & Bradstreet and Secretary of State websites)
- Proficiency in computerized conflicts and workflow software
- Excellent analytical and research skills
- Ability to compile, review, determine, and clearly communicate conflicts issues
- Sound judgment in determining when assistance is needed in communicating with attorneys and legal assistants
- Ability to work overtime on a regular basis as needed
The budgeted salary range for this position is $70,000 - 85,000 dependent on experience and location.
