Intake Coordinator

$18–$20 per hour (Based on Experience)

As we continue to grow, we are seeking a dependable and detail-oriented Intake Coordinator to serve as the first point of contact for our customers and support our operations team.

Position Summary
The Intake Coordinator plays a critical role in managing incoming leads, qualifying new opportunities, coordinating schedules, and ensuring a professional front-office experience. This position requires strong customer service skills, CRM experience, and the ability to manage multiple priorities in a high-volume environment.
Key Responsibilities
Customer Service & Communication
- Answer and route incoming phone calls promptly and professionally
- Serve as the first point of contact for customers, vendors, and visitors
- Provide exceptional customer service at all times
- Confirm appointments and assist with customer inquiries
Lead Intake & Qualification
- Take initial customer calls and properly intake and qualify new leads
- Accurately enter and manage leads within the CRM system (Quickbase or similar)
- Follow up with potential customers via phone, text, and email
- Assign Area Managers or Sales Representatives appropriately
- Ensure all leads are properly documented and tracked
CRM & Documentation
- Maintain accurate and detailed records within the CRM
- Attach required documentation to leads (weather reports, measurements, property data, etc.)
- Monitor daily lead reports to ensure completeness and accuracy
Payments & Administrative Support
- Process daily credit card payments accurately
- Upload receipts and documentation into files
- Monitor and manage office email
- Support sales and operations teams with administrative tasks
- Maintain a clean, professional front office environment
Required Experience & Qualifications
- Strong customer service experience
- Experience answering high-volume phones in a professional setting
- Experience taking initial intakes/leads and qualifying customers
- Strong experience working within a CRM system (Quickbase, AccuLynx, Salesforce, or similar)
- High attention to detail and accuracy
- Ability to multitask in a fast-paced environment
- Strong communication and organizational skills
Highly Preferred
- Experience in roofing, construction, or similar home service industries (HVAC, plumbing, restoration, etc.)
- Previous intake coordinator, dispatch, or scheduling experience
- Bilingual Spanish (a plus, not required)
